HR Specialist (Timecard Processing)

Job Overview

We are seeking a detail-oriented, empathetic, and organized HR Specialist to own our timecard tracking and employee relations processes. In this role, you will be the go-to person for all timekeeping inquiries, ensuring that our team is paid accurately and on time while maintaining strict compliance with company policies. You will also serve as a trusted point of contact for employee check-ins, concerns, and general HR support, balancing administrative precision with strong interpersonal skills.

schedule: Monday to Friday from 10:00 AM to 7:00 PM Pacific Times, Los Angeles, CA time. (With one hour unpaid for break)

Key Responsibilities

1. Timecard & Attendance Management

  • Timecard Administration: Review, update, and process employee timecards, ensuring accuracy in recorded hours, overtime, and time-off requests.
  • Inquiry Resolution: Act as the primary point of contact for all timecard-related questions, discrepancies, and corrections.
  • Payroll Liaison: Collaborate closely with the finance/payroll team to ensure all hours are approved and ready for seamless payroll processing.

2. Employee Relations & Support

  • Active Support: Handle day-to-day employee inquiries regarding company policies, benefits, and general workplace concerns.
  • Regular Check-Ins: Conduct routine pulse checks and check-ins with team members to gauge morale, gather feedback, and foster a positive work culture.
  • Conflict Resolution: De-escalate and resolve employee issues or interpersonal conflicts professionally and constructively.

3. HR Recordkeeping & Policy Compliance

  • Data Integrity: Maintain accurate, up-to-date, and secure digital HR records (contracts, performance logs, and compliance documents).
  • Policy Enforcement: Guide employees on company guidelines and ensure team-wide compliance with internal policies and labor standards.
  • Confidentiality: Handle sensitive personnel data and personal information with the highest level of discretion and professional ethics.

4. General HR Support

  • Ad-Hoc Projects: Support the wider HR team with onboarding tasks, policy updates, and other administrative initiatives as needed.

Key Skills & Qualifications

  • Experience: Proven track record in Human Resources, specifically with timecard administration, payroll preparation, or employee support.
  • Communication & Empathy: Outstanding verbal and written communication skills; ability to connect with employees at all levels with warmth and clarity.
  • Conflict De-escalation: Strong conflict-resolution skills and a level-headed approach to handling sensitive workplace issues.
  • Detail-Oriented: Exceptional organizational skills with a low tolerance for errors, especially when handling hours worked and payroll data.
  • Integrity: Proven ability to manage highly confidential and sensitive personal data.

• • Tech-Savvy: Familiarity with modern HRIS (Human Resource Information Systems), time-tracking platforms (e.g., TSheets, Hubstaff, Clockify), and communication tools.
