Role: Executive Assistant & Virtual Office Manager
Monday-Friday 9:00am-6:00pm EDT (one hour for lunch), South Carolina
Position Overview
We are seeking a highly organized, tech-savvy, and proactive Executive Assistant & Virtual Office Manager to act as the operational anchor for our business. This role is a hybrid of high-level executive support and daily operations management. You will serve as the primary strategic partner to the business owner, ensuring that our internal processes, calendars, and communications run with precision while leveraging digital tools to maximize team efficiency.
Key Responsibilities
- Executive & Calendar Strategy: Manage complex, multi-stakeholder calendars with high autonomy. Proactively identify scheduling conflicts, prioritize high-value meetings, and manage the owner’s time to ensure alignment with company growth goals.
- Virtual Office Operations: Oversee the "digital headquarters" of the business. You will maintain internal SOPs, track team performance, and troubleshoot administrative bottlenecks to ensure the business operates seamlessly.
- Tech-Forward Workflow Management: Act as our tech power-user. You will implement, manage, and optimize our digital ecosystem (e.g., project management software, communication suites, and automation tools) to ensure information flows correctly between team members and clients.
- Communications Triage: Serve as the first point of contact for high-level inquiries. You will filter, draft, and manage communications—knowing exactly what needs the owner’s immediate attention versus what can be resolved through established processes.
- Client & Team Liaison: Coordinate effectively between clients and field staff. This involves high-level problem solving, handling escalations with empathy, and ensuring that instructions and job requirements are clearly documented and communicated in real-time.
Requirements
- Advanced Tech Proficiency: Proven ability to learn and master new software quickly. You are the person the team turns to when a tool isn't working or when a process needs to be automated.
- Mastery of Multi-Tasking: Demonstrated ability to juggle multiple competing priorities without dropping balls. You excel in high-context environments where you must switch seamlessly between strategic tasks, urgent troubleshooting, and routine administration.
- Proactive Problem Solver: You don’t wait for instructions; you identify operational friction and propose solutions before they impact the business.
- Executive Presence: Exceptional communication skills with a professional, warm, and highly reliable tone. You understand the nuances of high-level correspondence and can represent the business owner with confidence.
- Experience: Proven experience in executive-level support or office management, with a track record of successfully managing multiple calendars and complex team workflows.
