Overview
Join a growing Canadian engineering firm managing around 300 annual projects and take full ownership of their invoicing cycle. In this role, you will clear a billing backlog, reconcile timesheets using QuickBooks, and streamline automated workflows to ensure healthy cash flow. It’s a stable, fully remote opportunity to work directly with the business owner and drive operational efficiency.
Schedule
Part-time, 20 hours per week, preferably morning hours. Client Timezone: Canadian Business Hours (EST), but flexibility is allowed.
Responsibilities
- Prepare and issue client invoices based on completed project timesheets and rate schedules
- Run project reports in QuickBooks Time and reconcile billable hours and expenses
- Monitor and proactively follow up on outstanding and unpaid invoices
- Maintain accurate billing records for approximately 300 projects per year
- Assist in establishing streamlined invoicing workflows to reduce turnaround time
- Provide administrative support related to accounts receivable and client billing
- Collaborate directly with the business owner to clear existing invoicing backlogs
- Support the implementation of automated billing processes for new projects
Requirements
- Demonstrated experience using QuickBooks and QuickBooks Time
- Prior bookkeeping or billing experience supporting a Canadian business
- Strong attention to detail and accuracy in financial record-keeping
- Excellent organizational and time management skills - Ability to work independently with minimal supervision
- Strong written communication skills for client follow-ups
- Bonus if you have experience in the engineering or professional services sector
- It helps if you have experience setting up automated billing workflows
