Job Overview

Our client is looking for a detail-oriented and highly organized Administrative Assistant to support day-to-day operations by maintaining tracking systems, organizing documents, monitoring deadlines, and ensuring tasks are completed on time. The ideal candidate is a self-starter who enjoys creating organized workflows, managing multiple priorities, and keeping information accurate and up to date.

Schedule: Monday - Friday, 8:00 AM - 5:00 PM Central Time, with a 1-hour unpaid break (40 hours per week)

Responsibilities

  • Build and maintain comprehensive tracking systems using spreadsheets to monitor the status and progress of ongoing projects and administrative tasks.
  • Monitor online portals and internal systems to verify that documents have been submitted, records are updated, and deadlines are met.
  • Prepare, update, and maintain task checklists to ensure all required steps are completed before key milestones or deadlines.
  • Follow up with clients and team members regarding outstanding documents, missing information, or pending action items.
  • Enter staff time and activity records into the company's management system and assist with administrative reporting.
  • Format, organize, and maintain document templates, forms, reports, and other business documents.
  • Compile and distribute weekly task lists highlighting pending items, upcoming deadlines, and project status updates.
  • Maintain daily, weekly, and monthly workflows to ensure projects continue progressing efficiently.
  • Create clear and easy-to-follow checklists and documentation that allow team members to quickly understand project status.
  • Track administrative requests and approvals, maintaining accurate records and providing status updates when needed.
  • Communicate professionally with clients through email, phone, and messaging platforms such as WhatsApp.
  • Organize digital files and ensure documents are properly named, stored, and easily accessible.
  • Provide general administrative support as assigned.

Requirements

  • Previous experience in an Administrative Assistant, Executive Assistant, Project Coordinator, Operations Assistant, or similar administrative role.
  • Exceptional organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Strong attention to detail and the ability to identify errors or inconsistencies.
  • Excellent written and verbal English communication skills.
  • Proficiency with Microsoft Excel or Google Sheets and other cloud-based productivity tools.
  • Experience organizing digital files using platforms such as Dropbox, Google Drive, or similar systems.
  • Comfortable learning new software and working with cloud-based business applications.
  • Self-motivated with the ability to work independently and manage priorities with minimal supervision.
  • Professional, reliable, and able to handle confidential information with discretion.
