Customer Service Representative (Cosmetic Industry)

Job Overview

Our client is a growing dermatology practice with four California locations offering both medical and cosmetic procedures. In this remote, full-time Customer Service Representative (Cosmetic Industry) role, you will serve as the first point of contact for patients inquiring about aesthetic services like Botox, fillers, and laser treatments. You will handle inbound calls and warm transfers, guiding patients with empathy to convert inquiries into scheduled consultations. Utilizing tools like EasyDerm and Weave, you will ensure a seamless, high-quality patient experience across multiple locations.

Schedule: Mon-Fri, 8:30 am - 5 pm PST with 30-mins unpaid break (40 hours per week)

Responsibilities

  • Answer inbound calls from patients inquiring about cosmetic dermatology services across four practice locations
  • Receive warm transfers from the medical team when patients express interest in aesthetic treatments
  • Explain the difference between medical and cosmetic dermatology procedures to help patients understand their options
  • Route patients appropriately based on their cosmetic needs and schedule appointments using EasyDerm electronic medical records platform
  • Communicate via phone and text using Weave communication system to coordinate patient appointments
  • Provide information about cosmetic services including laser treatments, Botox, fillers, and other aesthetic procedures
  • Ensure patients are scheduled at the correct location with the appropriate provider based on their treatment needs
  • Deliver exceptional customer service that makes patients feel comfortable and confident in booking consultations
  • Act as a sales coordinator to convert cosmetic inquiries into scheduled appointments Maintain accurate patient records and appointment details in practice management systems

Requirements

  • 1-2 years of customer service experience in the cosmetics or medical aesthetics industry
  • Strong understanding of cosmetic dermatology procedures and terminology Excellent verbal communication skills with the ability to make patients feel comfortable
  • Proven ability to handle patient inquiries with empathy and professionalism Experience using customer relationship management or medical records systems Comfortable working with communication platforms for phone and text coordination Availability to work Monday through Friday during Pacific Standard Time business hours
  • Bonus if you have worked in a dermatology or medical spa environment
  • Bonus if you are familiar with Weave or similar healthcare communication systems
  • It helps if you have experience coordinating appointments across multiple practice locations
  • It helps if you have experience with EasyDerm or similar electronic medical record platforms
