Construction & Financial Coordinator

Job Overview

Our client is seeking an execution-focused Construction & Financial Coordinator to serve as the central nervous system of a growing trade and construction business. In this role, you will take ownership of financial visibility, job compliance, client communication, and operational documentation, taking administrative weight off the business owner. Success in this role means establishing strict operational accountability, ensuring all jobs are highly profitable, and building the foundational systems required to expand the company's regional footprint.

Schedule

Monday - Friday, 8:00 AM - 5:00 PM Sydney Time (40 work hours per week)

Responsibilities

  • Match supplier invoices to specific jobs in Ascora daily and input material costs to maintain real-time job profitability tracking.
  • Act as the compliance enforcer by auditing daily job entries (hours, photos, materials) and holding the site team accountable for documentation.
  • Transform voice memos and rough notes into polished, story-driven client quotes that reflect the company's premium brand.
  • Manage the general email inbox as the first point of contact, responding to new inquiries and following up on outstanding quotes.
  • Prepare organized financial data for the external bookkeeper, separating operational tracking from compliance tasks.
  • Create and maintain comprehensive Standard Operating Procedures (SOPs) and process documentation for all back-office operations.
  • Generate weekly job progress reports from Ascora to give leadership complete visibility without manual work.

Requirements

  • Proven experience with job management or project tracking software.
  • Strong financial administration skills with meticulous attention to detail in invoice matching and cost tracking.
  • Excellent written English communication skills for client-facing correspondence and quote generation.
  • Demonstrated ability to create systems, document processes, and build SOPs from scratch.
  • Comfortable holding team members accountable to daily compliance standards with professionalism.
  • Self-motivated and proactive—able to identify gaps and solve problems without constant direction.
