Operations & Marketing Coordinator (Social Media & Email Marketing)

Overview:

Our client is a fast-growing custom apparel printing company based in Arizona. They've been operating for six years and are completely booked out 1.5 to 2 weeks in advance, consistently exceeding capacity. They're now ready to scale operations by building systems that don't require the founder to run every aspect of the business.

As an Operations & Marketing Coordinator (Social Media & Email Marketing), you will serve as the right hand to the business owner, taking ownership of administrative workflows, social media presence, and process automation research. This role is designed to clear the founder's runway so they can focus on growth and revenue while you handle scheduling, client communication, software evaluation, email marketing setup, and daily operations. You'll have the autonomy to research solutions, propose improvements, and gradually take over critical business functions like quoting and invoicing as you master the systems.

Schedule: Monday - Friday, 1:00 PM - 5:00 PM MST (20 work hours per week) | Fixed Schedule

Responsibilities:

  • Manage and grow social media accounts including posting, community engagement, and responding to messages and comments
  • Research and evaluate software solutions for workflow automation, job management, and client communications, then schedule demos
  • Handle scheduling and calendar management for client meetings and consultations
  • Set up and manage email marketing campaigns to nurture leads and retain customers
  • Send estimates and quotes to potential clients using existing systems
  • Create and document standard operating procedures (SOPs) for repeatable business processes
  • Manage job tracking and workflow in Trello
  • Transition company email systems to Google Workspace
  • Support QuickBooks invoicing and bookkeeping processes once trained
  • Provide general administrative support to keep daily operations running smoothly

Must-Have Requirements:

  • Proven experience managing social media accounts for businesses with demonstrated community engagement
  • Strong background in email marketing setup and campaign management
  • Proficiency with project management tools, particularly Trello
  • Excellent organizational skills with ability to manage multiple priorities independently
  • Comfortable researching software solutions and presenting pros/cons analysis
  • Strong written and verbal communication skills for client-facing interactions
  • Self-starter who can work autonomously and solve problems without constant direction

Nice-to-Have Requirements:

  • Experience creating SOPs or process documentation is a plus
  • Familiarity with QuickBooks for invoicing and estimates is preferred
  • Experience with workflow automation tools is an advantage
  • Basic graphic design familiarity or Adobe Creative Suite exposure is beneficial
  • Previous experience working with service-based or manufacturing businesses is a plus
