Administrative and Customer Support Coordinator (Reservations)

Overview:

Our client is looking for a dedicated and detail-oriented Administrative and Customer Support Coordinator (Reservations) to manage digital communications, oversee reservation operations, and support daily administrative workflows. In this role, you will serve as a primary point of contact for customers and vendors, ensuring a seamless digital experience and contributing to overall business growth.

Schedule: Monday to Friday, 6:00 AM to 2:00 PM Hawaii Time | With a 30-minute paid break

Responsibilities:

  • Manage and organize the company email inbox, responding to customer and vendor requests in a timely manner
  • Oversee reservation software operations, including processing bookings and maintaining accurate records
  • Facilitate clear and professional communication with customers throughout their booking journey
  • Support daily administrative tasks and ensure smooth digital workflow across integrated platforms
  • Collaborate with AI-driven tools and internal resources to resolve customer inquiries efficiently
  • Conduct research and assist with ad-hoc projects as assigned by leadership
  • Contribute to marketing-related tasks and help develop business processes over time

Requirements:

  • Proven experience in an administrative, reservations, or customer service role
  • Proficiency with Google Workspace (Gmail, Calendar, Drive) and comfort learning new software
  • Experience using soft phone systems such as RingCentral or similar VoIP platforms
  • Strong written and verbal communication skills with high attention to detail
  • Ability to work independently with minimal supervision
  • Proactive mindset with a willingness to take on growing responsibilities

Scope:

  • Serve as the primary point of contact for digital communications and reservation management
  • Support business growth by identifying process improvements and taking on expanded duties
