Spanish Bilingual Patient Care & Clinic Coordinator

Overview

We are seeking a highly organized, empathetic, and proactive Bilingual Patient Care & Clinic Coordinator to join our team. In this role, you will be the primary point of contact for our patients, guiding them seamlessly from their initial inquiry through onboarding, scheduling, and ongoing care. By balancing patient outreach, smooth scheduling, basic billing, and provider collaboration, you will ensure an exceptional, patient-first experience.

Schedule

Monday to Friday, 1:00 PM–5:00 PM Colombia Time

Responsibilities

  1. Patient Recruitment & Growth Lead Generation: Develop and execute creative strategies to attract new patients seeking weight loss and HRT solutions. Outreach Support: Utilize social media, digital marketing platforms, and community events to raise awareness, answer inquiries, and generate high-quality leads.
  2. Consultation Scheduling & Flow Appointment Management: Coordinate and manage the daily calendar for initial consultations and follow-up appointments using clinical scheduling software. Flow Optimization: Maintain an efficient, smooth daily schedule that maximizes provider time while minimizing patient wait times.
  3. Patient Onboarding & Education Intake Guidance: Welcome new patients, manage intake forms, and provide basic, accurate information regarding our weight loss and HRT programs. Inquiry Handling: Confidently address patient questions regarding process, pricing, and expectations with a warm, professional demeanor.
  4. Billing, Insurance & Financials Payment Processing: Handle patient billing, manage invoices, and ensure accurate charging for consultations and ongoing wellness services. Insurance Verification: Verify coverage and assist patients with claims for our single accepted insurance provider, while efficiently managing transactions for our primary cash-pay patient base.
  5. Follow-Up Care & Retention Continuity of Care: Proactively schedule routine follow-ups to ensure patients stay on track with their medical protocols. Patient Support: Maintain consistent, open lines of communication to monitor patient satisfaction, address minor concerns, and boost long-term retention.
  6. Team Collaboration & Improvement Provider Alignment: Work hand-in-hand with healthcare providers to streamline patient care, share updates, and coordinate treatment strategies. Feedback Loops: Gather patient feedback to help the clinic optimize service delivery, and stay informed on basic industry trends in HRT and medical weight loss.

Requirements

Language Mastery: Absolute fluency in both English and Spanish is required (ability to seamlessly switch between both languages dynamically with patients).

Healthcare Experience: Proven experience in healthcare scheduling, patient intake, or medical front-desk management.

Financial Literacy: Familiarity with medical billing practices, payment processing, and basic insurance verification.

Tech-Savvy: Comfortable navigating Electronic Health Records (EHR) systems, modern CRM/scheduling software, and social media platforms.

Soft Skills: Exceptional interpersonal skills, strong multitasking abilities, and a compassionate, patient-first mindset.

Industry Knowledge: Prior basic knowledge of medical weight loss therapies or Hormone Replacement Therapy (HRT) is a major plus.
