Automation Specialist - Fintech Industry

Job Overview:

We are seeking a highly organized and hands-on Business Process Automation Specialist to improve operational efficiency across marketing, sales, and internal operations through practical automation and workflow optimization.

This role is focused on identifying manual processes, improving system connectivity, and implementing streamlined workflows that reduce operational friction and increase speed, visibility, and consistency across the business. The ideal candidate is execution-focused, systems-oriented, and comfortable working across multiple business functions in a fast-paced environment.

This is not a purely strategic or managerial role. We are looking for someone who can actively build, implement, optimize, and maintain automation systems that support daily operations and business growth.

Schedule:

  • Mondays to Fridays, 9:00 am to 6:00 pm (Australian Eastern Time), with a 1-hour unpaid break (40 hours per week)

Key Responsibilities:

Workflow Automation & Process Improvement

  • Identify manual workflows, inefficiencies, and repetitive operational tasks across the business
  • Design and implement automation workflows that improve operational efficiency and reduce manual handling
  • Standardize internal processes to improve consistency, scalability, and execution speed
  • Continuously optimize workflows based on operational performance and business needs

CRM & Systems Management

  • Support the setup, optimization, and maintenance of CRM and workflow systems
  • Automate lead capture, lead routing, follow-ups, notifications, and task assignments
  • Ensure accurate data flow between systems, platforms, and communication channels
  • Improve visibility across marketing, sales, and operational pipelines

Marketing & Sales Process Automation

  • Support marketing and sales teams through automation of:
    • Lead management
    • Follow-up sequences
    • Pipeline tracking
    • Client onboarding workflows
    • Reporting and notifications
  • Assist in improving response times and reducing process bottlenecks
  • Help create streamlined customer journeys from inquiry through conversion

Systems Integration & Automation Tools

  • Build and maintain integrations between platforms using practical automation tools and APIs
  • Work with platforms such as:
    • CRM systems
    • Email marketing tools
    • Communication platforms
    • Workflow automation software
  • Support lightweight integrations and process improvements without unnecessary complexity

Reporting & Operational Visibility

  • Build dashboards and reporting workflows to support operational decision-making
  • Track workflow efficiency, lead response times, and operational performance metrics
  • Maintain organized documentation of automations, workflows, and system processes

Requirements:

  • Experience in business process automation, operations support, CRM administration, or workflow optimization
  • Hands-on experience with automation tools such as: Zapier, Make (Integromat), HubSpot, GoHighLevel, ActiveCampaign, Monday.com, Airtable
  • Strong understanding of CRM systems, automation workflows, and operational processes
  • Experience improving business workflows across marketing, sales, or operations
  • Strong organizational and problem-solving skills
  • Comfortable working independently in a fast-paced remote environment
  • Excellent communication and documentation skills

Preferred Qualifications:

  • Basic understanding of APIs, integrations, and data flows
  • Experience supporting fintech, lending, direct response, or high-volume operational businesses
  • Familiarity with reporting dashboards and workflow analytics
  • Exposure to no-code or low-code automation environments
  • Basic technical troubleshooting capability
