Job Overview
We are seeking a highly organized and proactive Executive Assistant & Project Coordinator (Digital Marketing Agency) to support the founder of a growing digital marketing agency. In this part-time role, you will manage day-to-day operations, maintain executive priorities, and coordinate shifting project workflows across multiple client accounts. Actively tracking client deliverables and managing tasks within Notion, you will serve as a vital point of contact for client communications and follow-ups. The ideal candidate is an exceptional communicator who anticipates administrative needs and thrives in a fast-paced, remote marketing environment.
Schedule
Mon-Fri, 9 am - 2 pm PST (25 hours per week)
Responsibilities
● Manage and prioritize the executive's daily tasks, calendar, and workload.
● Coordinate client communications as the first point of contact and follow up on action items with the internal team to ensure nothing falls through the cracks.
● Organize meeting agendas, take notes when needed, and track follow-up tasks.
● Monitor ongoing projects and ensure deadlines are met across multiple client accounts.
● Maintain project management tools in Notion and keep tasks, timelines, and priorities up to date for the internal team.
● Track client deliverables, milestones, and wins.
● Help organize business priorities and provide daily visibility into urgent and upcoming tasks.
● Coordinate with internal team members to ensure projects are progressing smoothly.
● Assist with general administrative tasks and process improvements as needed.
Requirements
● Previous experience as an Executive Assistant, Project Coordinator, Project Manager, Account Executive, or in a similar support role.
● Excellent written and verbal English communication skills.
● Strong organizational skills with exceptional attention to detail.
● Ability to manage multiple priorities and work independently.
● Experience using project management tools such as Notion, Asana, Monday.com, or similar platforms.
● Comfortable coordinating with clients and internal stakeholders in a professional manner.
● Proficient with Google Workspace (Docs, Sheets, Calendar, Gmail) and common business communication tools.
● Highly proactive, resourceful, and able to anticipate needs before they arise.
● Experience working in a marketing agency or client services environment is a plus.
