Overview
Our client is looking for a proactive and experienced Executive Operations Coordinator to provide high-level administrative support. In this role, you will manage executive calendars, coordinate board meetings, oversee projects, and ensure efficient day-to-day operations while reporting directly to the Executive Director.
Schedule
Monday - Friday, 9:00 AM - 5:00 PM Pacific Time, with 1 hour unpaid break (35 work hours per week; will scale to 40 hours per week within a month or two). Note: Bi-monthly board meetings require extended hours until 6:00 PM.
Responsibilities
- Manage executive calendars, email communications, expense reports, and file organization to ensure efficient day-to-day operations.
- Attend bi-monthly board meetings and prepare accurate meeting notes and documentation.
- Coordinate administrative projects and facilitate communication between teams and departments.
- Proactively identify and resolve operational issues while maintaining efficient workflows.
- Provide high-level administrative and operational support to executive leadership.
Requirements
- At least three years of experience as an Executive Assistant or in a similar administrative role
- Strong project management, organizational, and time management skills with exceptional attention to detail
- Excellent communication and interpersonal skills with the ability to work effectively with internal teams and external stakeholders
- Demonstrated leadership, professional maturity, and a proactive mindset
- Ability to work independently with minimal supervision and manage multiple priorities effectively
- Proficiency in standard office software and willingness to complete a three-month probationary period
