Job Overview
A New York-based podiatry practice is seeking a highly organized Spanish Bilingual Medical Administrative Assistant to support its primarily Spanish-speaking patient base. In this role, you will independently manage front-of-house medical administration, patient scheduling via EHR systems, and billing workflows. Additionally, you will provide secondary support by managing the practice's social media accounts and performing basic, HIPAA-compliant video editing for public content. This full-time, work-from-home position operates Monday through Friday from 9:00 AM to 4:00 PM EST.
Schedule: Mon-Fri, 9 am - 4 pm EST, subject to change (35 hours or more per week)
Responsibilities
- Patient Communication: Answer and manage incoming phone calls with professionalism and clarity in both English and Spanish; engage in natural, helpful conversations to assist patients effectively.
- EHR & Scheduling: Utilize the practice’s Electronic Health Record (EHR) system for patient scheduling, documentation, and general workflow management.
- Intake & Compliance: Review and verify the completion of patient intake forms and medical documentation for total accuracy, completeness, and strict HIPAA compliance.
- Financial Management: Handle payment collection processes at the point of service and perform diligent follow-ups on outstanding patient balances; comfortably handle medical billing inquiries.
- Independent Coordination: Coordinate complex administrative tasks independently while maintaining high attention to detail and quality control.
- Compliant Video Editing: Edit pre-recorded raw video content for social media (trimming, adding captions, sound effects). Strictly ensure HIPAA compliance by blurring patient faces, removing identifiable features, and muting sensitive audio.
- Social Media Management: Create, manage, and publish content across platforms (e.g., Instagram, TikTok), ensuring a single, consistent brand name, tone, and visual identity.
- Website Support: Upload approved social media content to the company website once operational, coordinating basic content organization and formatting for web use.
Requirements
- Language: Must be fully bilingual in Spanish and English with exceptional verbal and written communication skills in both.
- Healthcare Experience: Demonstrated background as a medical receptionist, medical secretary, or administrative assistant in a professional healthcare setting.
- Regulatory Knowledge: In-depth, practical knowledge of HIPAA regulations and a strict commitment to maintaining patient data privacy across both administrative tasks and social media.
- Technical Skills:
- Proficiency in using EHR software and standard office productivity tools.
- Proven experience with basic video editing tools (e.g., CapCut, Adobe Premiere, Final Cut) and managing professional Instagram/TikTok accounts.
- Soft Skills: Exceptional phone skills with the ability to engage patients beyond standard scripts; a meticulous approach to documentation/financial records; and the ability to work independently in a remote environment.
