Job Overview:
We are seeking a proactive, highly organized Executive & Publishing Project Coordinator to drive diverse initiatives—including books, digital media, and video projects—from concept to completion. In this role, you will streamline workflows, conduct research, and leverage AI tools to transform complex ideas into impactful resources. This position is ideal for a detail-oriented coordinator who excels at keeping projects on track and ensuring nothing falls through the cracks.
Schedule: Full Time, Flexible Schedule During CST Business Hours.
Responsibilities:
- Manage multiple publishing and content projects simultaneously.
- Organize and maintain project files, documents, and digital assets.
- Coordinate the development of books, websites, videos, and other content.
- Turn AI-generated content into structured, publish-ready documents.
- Track project timelines and ensure deadlines are met.
- Assist with document formatting and proofreading.
- Coordinate with internal team members and external contributors.
- Maintain organized documentation using Google Workspace and cloud storage.
- Perform executive administrative tasks as needed.
- Recommend process improvements to increase efficiency.
Requirements:
- Previous experience as an Executive Assistant, Project/Operations Coordinator, or in a similar role supporting entrepreneurs and content creators.
- Exceptional organizational skills with a proven ability to manage multiple competing priorities independently.
- Excellent written English paired with strong attention to detail and high standards for accuracy.
- Strong documentation skills, including the ability to write, organize, and maintain clear records or processes.
- Proficiency in Google Workspace or Microsoft Office applications.
- A tech-savvy mindset with the comfort and agility to quickly learn new software and platforms.
- Familiarity with or an active interest in leveraging AI tools like Gemini or ChatGPT to streamline workflows.
- Experience in publishing, self-publishing, or formatting books and long-form documents is a strong plus.
