Construction Operations Coordinator

Overview:

Our client is looking for a proactive and highly organized Construction Operations Coordinator to serve as the central administrative point of contact for a nine-person construction team. In this role, you will support the business owner in stepping back from day-to-day operations by owning the full administrative workflow and ensuring smooth business operations.

Schedule: Flexible during client business hour, 9:00 AM to 6:00 PM AEST

Responsibilities:

  • Manage and triage daily email correspondence, ensuring each message is correctly categorised, assigned, or actioned
  • Oversee and quality-check AI-driven data entry systems to identify and correct errors before they impact operations
  • Prepare, create, and process invoices with accurate supporting documentation for complex construction projects
  • Perform bank reconciliations and maintain up-to-date financial records in Xero
  • Track and manage vehicle fleet administration including registration renewals and compliance deadlines
  • Coordinate task workflows and project updates using Trello to keep the team informed

Requirements:

  • Prior experience in office administration, preferably within the construction or trades industry
  • Proficiency in Xero, Trello, and Missive or similar email management platforms
  • Strong attention to detail with the ability to review automated outputs for accuracy
  • Excellent written communication skills and the confidence to ask clarifying questions when needed
  • Ability to work independently and manage competing priorities in a fast-paced environment
  • High level of organisational skills with a proactive approach to problem-solving

Scope:

  • Serve as the central administrative point of contact for a nine-person construction team
  • Ensure all inbound communications are processed, cleared, and actioned on a daily basis
  • Support the business owner in stepping back from day-to-day operations by owning the full administrative workflow
  • Monitor the office phone line and redirect enquiries as needed
