Overview
Our client is seeking a detail-oriented and highly organised Production & Supply Chain Coordinator (Fashion & Apparel) to join their team following an internal restructure. This role is central to their product development and manufacturing operations, owning relationships with factory partners and managing the full production lifecycle from initial purchase order placement through to factory handover.
The ideal candidate has experience in fashion production, is confident managing multiple collections simultaneously, and thrives in a fast-paced, deadline-driven environment.
Schedule: Flexible during client business hours (minimum of 20 hours per week) | New South Wales, AU
Responsibilities:
Purchase Order Management
- Raise, manage, and maintain purchase orders (POs) for all factories across all collections, including bulk, recuts, and SMUs, within the ERP system
- Send purchase orders to factories and follow up to confirm receipt and production timelines
- Update purchase orders with pricing adjustments, size breakdowns, quantity amendments, and revised ex-factory dates
- Prepare and distribute PO checklist documents to the warehouse team
- Cancel purchase orders for discontinued styles or withdrawn customer orders
Collection & Order Management
- Maintain and update the master Collection Bible for each season, including FOB pricing, fabric compositions, HS codes, product weights, international pricing, approved upcharges, and ex-factory dates
- Create and distribute delivery schedules to factories and customers
- Update order tracking spreadsheets with new orders, recuts, and delivery information
- Maintain shared sales trackers for both major accounts and boutique customers
Factory & Supplier Management
- Build and maintain strong working relationships with factory partners
- Negotiate pricing with factories and review proposed upcharges.
- Send confirmed collection quantities to factories to commence production.
- Manage sample quantities and coordinate recut orders.
- Follow up on outstanding invoices, packing lists, and shipment updates
- Apply approved pricing adjustments within the ERP system and Collection Bible
Pricing & International Markets
- Manage pricing across multiple currencies including AUD, USD, CAD, EUR, ILS, JPY, NZD, and TWD
- Build and maintain wholesale and recommended retail pricing schedules for each collection
- Prepare regional pricing for upload to JOOR across applicable markets
- Prepare pricing schedules for SMU products
- Update and distribute trading terms documentation for approval
Barcodes & Product Compliance
- Generate barcodes for new collections by style and factory
- Distribute barcode files to factories and warehouse teams
- Maintain HS codes, including market-specific 10-digit codes, and update product descriptions within Tradestone
- Ensure MID codes are correctly applied to packing lists
Key Internal Relationships
- Factory partners
- Warehouse team for purchase order checklists, packing lists, and shipment coordination
- Logistics & Operations Coordinator for delivery schedules and invoicing handover
- Sales Coordinator for JOOR orders and collection data
- Senior Leadership for pricing approvals and collection sign-off
Requirements:
- Minimum of 2 years of experience in a Production Coordinator, Buying Coordinator, Supply Chain Coordinator, or similar role, preferably within the fashion or apparel industry
- Strong understanding of garment production processes and factory management
- Experience using ERP or inventory management systems (experience with Magic is highly regarded)
- Experience with JOOR or similar B2B order management platforms
- Knowledge of multi-currency pricing and international trade compliance, including HS and MID codes
- Exceptional attention to detail and ability to manage multiple collections simultaneously
- Strong written and verbal communication skills, particularly when working with factory partners
- Excellent organisational, planning, and prioritisation skills
- Ability to work independently while managing competing deadlines
