Overview:
We’re looking for a highly organized and proactive Project Support Coordinator to support day-to-day operations and keep projects running smoothly. This role is ideal for someone who thrives in a fast-paced, remote environment and enjoys bringing structure and clarity to busy workflows.
Schedule:
- Mondays to Fridays, 6:00 am to 3:00 pm (US Central Time), with a one-hour unpaid break (40 hours per week)
Responsibilities:
- Manage and organize email inboxes, including drafting and responding to messages based on voice note instructions
- Coordinate calendars, schedule appointments, and send reminders to ensure nothing falls through the cracks
- Track tasks across multiple projects, ensuring deadlines and timelines are consistently met
- Prepare reports and presentation materials for client meetings and internal use
- Document processes and build a well-structured SOP library
- Support overall operations by coordinating task delegation and following up with team members
- Act as the primary operational support, freeing up leadership to focus on client-facing activities and growth
- Maintain and continuously improve SOPs to streamline onboarding and execution
- Identify inefficiencies in workflows and propose process improvements
- Collaborate with the team to ensure accountability and consistent task completion
Requirements:
- Previous experience as an Administrative Assistant or Project Coordinator (real estate experience preferred)
- Strong organizational skills with the ability to manage multiple priorities at once
- Excellent written communication skills for professional email correspondence
- Close attention to detail and accuracy across all deliverables
- Self-starter with the ability to work independently and take initiative
- Comfortable working remotely using asynchronous tools (e.g., Loom)
