Client Relations & Operations Coordinator (Childcare)

As our Client Relations & Operations Coordinator, you will be the comforting, calm voice for parents navigating urgent, same-day childcare needs. In this dynamic role, you’ll seamlessly manage our booking portal, coordinate nanny schedules, and handle essential administrative pieces like interviews and reference checks to keep things running beautifully. Beyond operations, you’ll get to spark excitement for our brand across Las Vegas, Reno, Sacramento, and Orange County by engaging daily with online mom groups and cultivating warm leads. Schedule:

  • 2 PM to 10 PM or 9 AM to 5 PM but eight hours per day Monday through Friday or weekends (Schedule might change) | Reno, Nevada time

Responsibilities:

  • Respond to all calls, texts, emails, and portal messages.
  • Support urgent scheduling needs and same-day care requests.
  • Communicate clearly, professionally, and calmly with families.
  • Escalate emergencies or sensitive situations to leadership immediately.
  • Document all after-hours activity for next-day follow-up.

Scheduling & Administrative Support

  • Assist families with booking care in the portal and support schedule changes or cancellations.
  • Confirm nanny availability and booking details.
  • Flag coverage gaps and recurring scheduling issues for leadership review.
  • Handle administrative work like scheduling interviews, appointment management, reference checks, and email/phone assistance.

Marketing & Growth (Markets: Las Vegas, Reno, Sacramento, Orange County)

  • Engage daily in local parenting groups, mom groups, and community groups.
  • Follow up with warm leads who showed interest but did not book.
  • Track lead sources by city and report partnership conversations and opportunities weekly.
  • Introduce the client as a trusted local childcare resource.
  • Identify and connect with Realtors, pediatric offices, OBs & birth centers, and event venues.

Requirements:

  • Availability: Ability to work flexible, non-traditional hours to cover after-hours support shifts.
  • Communication Skills: Exceptional verbal and written communication skills; ability to remain composed under pressure or when dealing with anxious parents.
  • Technical Proficiency: Comfort using online portal systems, email, messaging apps, and tracking tools to manage leads and schedules.
  • Problem-Solving & Judgment: Strong critical thinking skills to handle urgent care requests and accurately judge when a situation needs to be escalated to leadership.
  • Organization: High attention to detail for tracking lead sources, documenting support calls, and identifying recurring scheduling issues.
  • Regional Knowledge: Familiarity with (or willingness to learn) the local communities and demographics of Las Vegas, Reno, Sacramento, and Orange County.
