Schedule:
Monday - Friday, 9:00 AM - 1:00 PM New Zealand Time Zone (NZST) (20 work hours per week)
Responsibilities:
- Expertly manage the calendars of founders, ensuring efficient time management and prioritization of key activities
- Handle confidential communications with professionalism, including email correspondence and preparation of sensitive documents
- Coordinate and set up virtual meetings using platforms like Zoom, ensuring smooth and productive interactions
- Assist with document preparation, proofreading, and editing, maintaining the highest standards of quality and accuracy
- Streamline administrative processes, identifying areas for improvement and implementing efficient solutions
- Support project management initiatives, helping to track progress and ensure timely completion of deliverables
- Manage basic financial tasks such as expense reports and invoicing, contributing to the company’s financial organization
Requirements:
- Proven experience in a similar high-level administrative role, preferably in a fast-paced, remote environment
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines effectively
- Outstanding written and verbal communication skills in English, with the ability to interact professionally at all levels
- Advanced proficiency in Microsoft Office suite, particularly Word, and familiarity with remote work tools like Zoom
- Demonstrated ability to handle confidential information with the utmost discretion and integrity
- Strong problem-solving skills and a proactive approach to anticipating needs and resolving issues
- Excellent attention to detail and commitment to delivering high-quality work
- Experience in the education or technology sector is a plus
- Ability to work independently while also collaborating effectively with a remote team
