Job Overview
We are seeking a professional, Bilingual Personal Injury Care Coordinator to work directly with our personal injury manager to oversee scheduling and legal communications for patients seeking non-surgical pain relief. In this full-time remote role (38 hours/week, PST), you will manage the end-to-end patient journey—including referrals, insurance authorizations, and medical order tracking—while serving as the primary liaison between attorneys, case managers, and medical staff. This position is ideal for a highly organized self-starter fluent in English and Spanish who possesses strong legal-medical administrative expertise.
Schedule
Mon through Thu, 8:30 am - 5 pm, and Fri 8:15 am - 3 pm, PST (38 hours per week)
Responsibilities
- Receive referrals, send screening questions, create patient charts, and manage waitlists for unreachable patients.
- Add patients to trackers and coordinate scheduling for initial appointments, follow-ups, depositions, and MRI reviews.
- Manage email correspondence for billing, approvals for ancillary services, and medical record requests.
- Coordinate directly with case managers, attorney offices, interpreters, and medical partners for procedure scheduling.
- Handle comprehensive order management, including referrals, MRI orders, scripts, and service requests.
- Maintain data accuracy by updating trackers, Tebra alerts, JotForms, spreadsheets, and uploading approvals.
- Communicate treatment updates, billing details, reports, and lien-related matters while providing Spanish translation support.
Requirements
- 2+ years of experience working with law firms and EHR systems/scheduling.
- 5+ years of general office experience.
- Fluent spoken English and Spanish with the ability to provide translation support.
- Intermediate Microsoft Office 365 skills (Word, Excel, Teams, Outlook).
- Proficient in handling multiple phone calls simultaneously (2–3 at a time).
- Reliable self-starter with strong customer service, listening, organization, and time management skills.
- Must have an extra monitor, Adobe access, and complete the required application assessment.
