Job Description

We are looking for an organized and customer-focused Intake Specialist / Virtual Assistant to manage incoming inquiries, qualify potential clients, and support the legal team through accurate documentation and efficient case intake.

This role is ideal for someone who enjoys speaking with people, can handle sensitive conversations with empathy, and thrives in a structured, client-focused environment.


Responsibilities

  • Answer inbound calls from prospective clients in a professional and compassionate manner.
  • Gather key information to determine whether clients meet the firm's intake criteria.
  • Accurately enter client information into the firm's CRM or case management system.
  • Schedule consultations and route qualified leads to the appropriate team member.
  • Maintain detailed and organized records of client interactions.
  • Follow up with prospective clients when additional information is required.
  • Provide clear updates and communicate professionally throughout the intake process.
  • Collaborate with the legal team to ensure a smooth client onboarding experience.
  • Maintain confidentiality when handling sensitive client information.

Requirements

  • Previous experience in customer service, client support, virtual assistance, call center, or intake coordination.
  • Excellent spoken and written English communication skills.
  • Friendly, empathetic, and professional phone manner.
  • Strong attention to detail and accuracy when entering information.
  • Comfortable managing a high volume of inbound calls and follow-up tasks.
  • Highly organized with good time management skills.
  • Ability to work independently in a remote environment.
  • Reliable computer, high-speed internet, and quiet home office.

Preferred Qualifications

  • Experience working in a legal office or professional services environment.
  • Experience in social security disability law or legal intake is highly preferred
  • Previous intake or client onboarding experience.
  • Familiarity with CRM or case management software.
  • Experience handling sensitive or confidential information.
  • Knowledge of disability claims or legal intake processes is an advantage but not required.
