We are seeking a highly organized and detail-oriented Senior Accountant & Finance Operations Specialist to manage core accounting functions while driving process improvement and finance transformation initiatives. In this full-time remote role, you will balance recurring responsibilities—such as general ledger reconciliations, fixed asset management, and cash flow forecasting—with project-based work like ERP implementations and SOP development. Operating on a Mon-Fri, 8 am - 5 pm EST schedule, you will maintain financial accuracy, ensure compliance with vendor and state regulations, and provide vital backup support across the department. Schedule
Mon-Fri, 8 am - 5 pm EST with 1 hour unpaid break (40 hours per week)
Responsibilities
- Prepare and maintain monthly general ledger account reconciliations.
- Research, investigate, and resolve account discrepancies and unusual variances.
- Assist with month-end and year-end closing activities.
- Support the preparation and analysis of financial statements.
- Maintain the fixed asset ledger, including additions, disposals, transfers, and depreciation schedules.
- Develop, document, and maintain Standard Operating Procedures (SOPs) for accounting and finance processes.
- Support system implementations, testing, process improvements, and workflow enhancement initiatives.
- Maintain vendor contracts and monitor key terms, renewals, and compliance requirements.
- Coordinate vendor onboarding documentation, including W-9 forms, banking information, certificates of insurance, and related records.
- Assist with sales tax reporting and filings as backup support.
- Help maintain business licenses, permits, registrations, and annual state filings while monitoring renewal deadlines.
- Prepare and maintain short-term and long-term cash flow forecasts and update rolling cash flow models.
- Monitor cash receipts and disbursements to identify potential cash flow risks.
- Participate in finance transformation projects, including ERP implementations, banking transitions, process automation, and internal control initiatives.
- Cross-train within the accounting department to provide backup support for critical accounting functions.
- Support special projects and perform additional accounting and administrative duties as assigned.
Requirements
- Bachelor's degree in Accounting or Finance.
- 3-7+ years of progressive accounting experience.
- Strong understanding of general ledger accounting, reconciliations, and financial reporting.
- Experience maintaining fixed asset records and depreciation schedules.
- Advanced proficiency in Microsoft Excel and experience working with ERP or accounting systems.
- Strong analytical, organizational, and problem-solving skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and meet deadlines with minimal supervision.
- High attention to detail and accuracy when processing financial information.
- Ability to document processes and identify opportunities for continuous improvement.
- Professional, proactive, and collaborative approach when working with internal stakeholders.
- Reliable internet connection and an appropriate remote work environment.
Preferred Qualifications:
- Experience with sales tax compliance, business licensing, and state registration requirements.
- Familiarity with Accounting Seed, Salesforce, or similar ERP/accounting platforms.
- Experience in the medical device, healthcare, or equipment distribution industry.
- Background in process documentation, SOP development, or internal controls.
- Experience participating in ERP implementations, accounting system upgrades, or finance transformation initiatives.
- Previous experience working in a fully remote environment.
