Role Overview
We are seeking a detail-oriented and reliable Bookkeeper / Administrative Assistant to support a growing service-based business. This role will primarily focus on maintaining accurate financial records, reconciling accounts, managing bookkeeping workflows, and helping clear an existing backlog of transactions. In addition, the successful candidate will provide light administrative support, including email and calendar management.

Responsibilities
Bookkeeping & Financial Administration
- Reconcile bank accounts, credit cards, and financial transactions in QuickBooks Online
- Process, organize, and categorize receipts using HubDoc
- Manage accounts payable and accounts receivable activities
- Track customer invoices and monitor payment status
- Clear existing bookkeeping backlogs and maintain accurate, up-to-date financial records
- Review and reconcile approximately 150+ monthly transactions across multiple accounts
- Ensure accuracy and consistency between operational systems and QuickBooks Online
- Prepare bookkeeping reports and assist with month-end reconciliation processes
Administrative Support
- Manage and organize email inboxes
- Assist with calendar management and appointment scheduling
- Maintain organized digital files and business records
- Provide general administrative support as needed
- Assist with process documentation and workflow improvements
Requirements
- Proven bookkeeping experience with QuickBooks Online (required)
- Strong bank and credit card reconciliation experience
- Experience with accounts payable, accounts receivable, and invoice management
- Familiarity with HubDoc or similar receipt management software
- Excellent attention to detail and accuracy in financial recordkeeping
- Strong organizational and time management skills
- Ability to work independently with minimal supervision
- Excellent written English communication skills
- Comfortable learning and working with industry-specific business management software
Preferred Qualifications
- QuickBooks Online certification or advanced proficiency
- Experience supporting small business owners
- Experience cleaning up bookkeeping backlogs and implementing efficient workflows
- Previous experience providing administrative or executive support
- Experience working with Canadian businesses is a plus
Scope
- Part-time position (20 hours per week)
- Work during Canadian business hours with flexible scheduling
