Job Overview
Our client is looking for a detail-oriented and highly organized Project Support Administrator to serve as the administrative engine of their operations. You will work directly with a Project Coordinator to manage the flow of information from the initial quote through to job completion. This is a high-volume role where your ability to accurately enter data, set up project paperwork, and manage day-to-day office tasks will directly enable field staff and leadership to focus on high-level delivery. Monday - Friday, 8:00 AM - 5:00 PM Brisbane, QLD Time, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Accurately input project data, client information, and costs into company spreadsheets and the primary management system (Arrow Flow).
- Set up all necessary paperwork for new projects, including work orders, site safety packs, and subcontractor documentation.
- Assist the Project Coordinator in tracking job progress, updating schedules, and ensuring field staff have the information they need.
- Handle professional email correspondence with clients, suppliers, and internal team members.
- Maintain digital filing systems to ensure all project photos, measurements, and contracts are easily accessible.
- Perform general administrative tasks, including calendar management, basic reporting, and assisting the Director with ad hoc administrative requests.
- Ensure all necessary insurance certificates and compliance documents are collected and filed for subcontractors.
Requirements
- Proven Admin Experience: 2+ years of experience in an administrative or office support role, ideally within the construction, landscaping, or trade services industry.
- Exceptional attention to detail with a high level of accuracy in data entry and record-keeping.
- Proficiency in Microsoft Office (Excel/Word) and Google Workspace. Experience with ERP or Project Management software (like Arrow Flow, SimPRO, or Jobber) is a significant plus.
- Excellent written and verbal English communication skills for professional interaction with Australian-based staff and clients.
- Ability to manage multiple administrative "moving parts" and meet deadlines without constant supervision.
- A "can-do" attitude—someone who looks for ways to improve office processes rather than just following them.
