Virtual Administrative Assistant (Part-Time)
About the Role
We are seeking a highly organized and detail-oriented Virtual Administrative Assistant to support daily operations, client communications, and administrative processes. This role is ideal for someone who thrives in a fast-paced environment, enjoys creating structure, and can work independently while maintaining excellent attention to detail.
Work Schedule: Monday to Friday 10am to 2pm EST
Key Responsibilities
- Respond to incoming client inquiries using established templates to ensure timely follow-up
- Maintain accurate client records and update information within the CRM
- Schedule follow-up communications and Zoom meetings with prospective clients
- Prepare and send proposals, agreements, and contracts once opportunities are confirmed
- Assist with the creation and maintenance of internal Standard Operating Procedures (SOPs)
- Build and manage a database of industry contacts, including planners, venues, hotels, and strategic partners
- Provide general administrative and operational support as needed
Requirements
- Previous experience as an Administrative Assistant, Virtual Assistant, or similar support role
- Strong organizational and time-management skills
- Proficiency with Google Workspace (Google Drive, Docs, Sheets, Calendar, etc.)
- Excellent written communication and attention to detail
- Ability to work independently and manage multiple priorities
- Experience using CRM platforms and maintaining accurate data records
Position Details
- Part-time: 20 hours per week
- Must be available during Eastern Time business hours
- Responsible for managing the administrative process from lead intake through contract execution
