Job Overview
Our client is seeking a highly organized Executive Assistant for a part-time remote role. This position is responsible for managing executive calendars, organizing internal documents, handling financial tracking, and supporting social media content scheduling. Operating from Saturday to Thursday (1 PM - 5 PM Saudi Arabia Time), you will serve as a vital liaison across teams and external vendors. The role offers permanent work-from-home flexibility and an immediate hiring timeline.
Schedule
Sat-Thu, 1 pm - 5 pm Saudi Arabia time (24 hours per week)
Responsibilities
• Assist with daily calendar management, task scheduling, and email correspondence
• Coordinate travel arrangements, including flight bookings, hotel reservations, and transportation
• Conduct online research on various topics as directed and provide concise summaries
• Assist with social media management, including scheduling posts, monitoring engagement, and maintaining social media platforms
• Support content creation for social media, including drafting captions, sourcing content, and coordinating promotional materials
• Handle sensitive personal information with discretion and ensure data protection
• Assist with expense reconciliation, financial tracking, and bank account oversight
• Manage and organize personal documents, ensuring confidentiality
• Manage and organize internal documents, promotional materials, and digital folder structures
• Manage and organize the client’s calendar, schedule appointments, and set reminders
• Handle online errands, including shopping, bill payments, and reservations
• Assist in planning and organizing personal events or family gatherings
• Prioritize tasks for various teams, monitor progress, and provide regular updates to senior management
• Liaise with other staff members, vendors, and service providers to ensure seamless operations
• Act as a liaison between the executive and other departments, ensuring smooth communication and prompt resolution of requests and queries
• Assist with occasional business tasks, ensuring they align with the client’s objectives
• Handle office administrative tasks as directed and as necessary
• Provide daily or weekly reports on completed tasks and upcoming schedules
• Receive and process minutes of meetings, ensuring accurate minute-logging, note compilation, and action point tracking
Requirements
• Previous experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, or in a similar role
• Strong organizational and time management skills
• Excellent written and verbal communication skills
• Ability to multitask and prioritize tasks effectively
• Proficient in Microsoft Office and Google Workspace applications
• Experience with social media platforms and basic content creation is an advantage
• Strong attention to detail and accuracy
• Ability to handle confidential information with discretion
• Comfortable coordinating with multiple stakeholders and managing schedules
• Reliable internet connection and a suitable remote work setup
• Self-motivated, proactive, and able to work independently
