Overview 

We are looking for a Business Assistant & Creative Operations Coordinator to support a solo branding studio that manages around 10 clients at a time. This role will serve as the primary administrative and creative production support for the business owner, requiring flexibility and the ability to adapt to changing priorities and a variety of tasks each week within a small-business environment.

Schedule Monday - Friday | Flexible during client business hours (20 work hours per week)

Responsibilities:

• Manage email correspondence, schedule client meetings, and coordinate calendar activities on behalf of the business owner
• Draft and assemble client proposals using AI tools and existing templates to ensure consistency and efficiency
• Create and update brand assets and collateral within Canva based on provided client briefs and copy
• Maintain and update the back end of the Squarespace website as directed
• Add and manage client records in project management and time-tracking systems such as Harvest
• Process client payments and handle general administrative tasks to support day-to-day operations

Requirements:

• Demonstrated experience with Canva and a willingness to learn new platforms through video walkthroughs and recorded Loom training videos
• Strong problem-solving mindset with a proactive, can-do attitude toward unfamiliar tasks
• Excellent written communication skills for drafting proposals and client-facing correspondence
• High level of attention to detail when handling brand materials and client information
• Ability to work independently with minimal supervision in a small business environment
• Familiarity with AI tools such as Claude for summarizing notes and generating copy is a plus
