Overview:
We are a leading digital marketing agency seeking a highly proactive and independent Senior Executive Operations Coordinator (AI-Enabled). This role combines high-level professional operations with personal lifestyle management support. As our business and personal responsibilities often overlap, we are looking for a true self-starter who can confidently take ownership of tasks, think independently, and solve problems with minimal supervision. A key component of this role is the effective use of advanced AI tools while applying strong critical thinking and human judgment to ensure that all outputs are validated, accurate, and ready for execution.
Schedule:
- Mon - Fri, 9:00 AM to 1:00 PM GMT | Part-Time (4 hours per day / 20 hours per week) | With the potential to scale to full-time based on performance and workflow requirements
- Shift Flexibility (Critical): * When MD is in Hong Kong (GMT+8): Primary availability required in the mornings.
- When MD travels to Europe (frequent): Shifts to the afternoon/evening to maintain consistent overlap with the MD's traveling meeting window
Responsibilities:
AI Integration & Critical Thinking
- Contextual Knowledge Management: Navigate and query the MD’s centralized AI folders and databases to extract context, find information, and execute tasks independently
- Outputs Cross-Checking: Use multiple AI models to cross-reference and validate data
- Human-in-the-Loop Review: Critically review all AI-generated research and drafts to ensure absolute accuracy and logical sense before sending them to the MD, saving time rather than creating a secondary review workload
Business & Administrative Operations
- M&A Outreach: Manage high-priority networking and initial M&A (Mergers & Acquisitions) outreach via LinkedIn
- Corporate Calendar Management: Oversee and coordinate the MD’s dynamic professional schedule across multiple time zones
- Documentation & Basic Tech: Maintain tracking sheets and draft presentations; intermediate functional knowledge of MS Excel and PowerPoint is required
Personal & Lifestyle Logistics
- Complex Travel & Visa Coordination: Manage end-to-end travel logistics, including flight, hotel, and activity bookings. Navigate rigorous, multi-step visa processes (e.g., Indian Business Visas, US Trusted Traveler Programs)
- Property Management Support: Coordinate and ensure seamless expense and bill payments for personal properties
- Recreational Bookings: Handle lifestyle coordination, specifically booking Padel tennis courts across Hong Kong, Singapore, and Shanghai
Requirements:
- Self-Starter Mentality: Proven ability to work autonomously, figure out complex processes independently, and minimize back-and-forth clarifying questions after the onboarding phase
- Digital Agency Awareness: A foundational understanding of the digital marketing agency environment is highly advantageous (though technical marketing execution like SEO/Paid Ads is not required)
- Strict Discretion & Trustworthiness: Absolute comfort managing highly confidential personal information, including passport data, home addresses, and financial login flows using password management applications (e.g., LastPass)
- Adaptable Communication: Exceptional communication skills with the flexibility to adapt to changing response windows depending on where the MD is located globally
- Compliance: Candidate must be comfortable signing a strict Non-Disclosure Agreement (NDA) and utilizing secure browser protocols (e.g., Island Browser, LastPass) to preserve data integrity
