Job Description:
We are seeking a highly organized, bilingual Property Management Assistant to manage the day-to-day administrative and tenant-facing operations of a growing real estate portfolio. This role is critical in bridging communication between English and French-speaking tenants while ensuring all maintenance and leasing workflows remain seamless.
 
You will serve as the primary point of contact for tenant inquiries, vendor coordination, and document management. The ideal candidate has direct experience with Canadian provincial regulations and thrives in an independent, task-oriented environment.
 
Schedule:
Part-time, 20 hours per week. Flexible scheduling available between 8:00 AM and 7:00 PM, seven days a week.
 
Client Timezone: EST
 
Responsibilities:
  • Handle inbound tenant inquiries with professional responses in English and French
  • Coordinate and schedule maintenance vendors and contractors for repairs
  • Prepare and manage lease agreements and formal tenant correspondence
  • Maintain organized digital property records and administrative filings
  • Execute daily email management and proactive follow-ups on tenant requests
  • Support property listing activities and marketing administration
  • Ensure compliance with provincial property management regulations
  • Liaise between the property owner and stakeholders to prioritize tasks
 
Requirements:
  • Proven experience in property management specifically within Ontario or Quebec
  • -Native or near-native fluency in English and French (written and spoken)
  • Strong understanding of provincial residential tenancy regulations
  • High attention to detail in handling lease documentation and records
  • Proficiency in managing multiple administrative tasks simultaneously
  • Bonus if you have experience with property management software platforms
  • It helps if you have previous experience in maintenance coordination
