Receptionist
Position Overview
We are seeking a professional, friendly, and highly organized Virtual Receptionist to serve as the first point of contact for our virtual school. The successful candidate will be responsible for managing inbound calls, responding to general email inquiries, assisting with attendance administration, supporting students and parents, and providing administrative support to ensure the smooth operation of the school.
This role requires exceptional communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced educational environment.
Key Responsibilities
Front Desk & Telephone Support
- Answer inbound phone calls promptly and professionally.
- Respond to inquiries from prospective students, parents, and existing families.
- Direct calls to the appropriate department or staff member.
- Take accurate messages and ensure timely follow-up.
- Manage voicemail inboxes and return calls as required.
Student & Parent Support
- Provide information about school programs, enrollment processes, schedules, and general policies.
- Assist with appointment scheduling for admissions consultations, meetings, and school events.
- Address routine questions and escalate complex concerns to the appropriate team members.
- Maintain a welcoming and professional experience for all callers.
Email & Attendance Administration
- Monitor and respond to general school email inquiries in a professional and timely manner.
- Route email inquiries to the appropriate department or staff member when necessary.
- Assist with tracking and maintaining student attendance records.
- Follow established procedures for attendance monitoring, reporting, and follow-up communications.
- Support staff with attendance-related documentation and record-keeping.
- Ensure accuracy and confidentiality of student attendance information.
Administrative Support
- Maintain accurate records of inquiries, calls, emails, and communications.
- Update and manage student and parent information within school systems.
- Schedule appointments and coordinate calendars for school staff.
- Support enrollment and admissions-related administrative tasks.
- Assist with general administrative duties as assigned.
Data Entry & Documentation
- Enter and update information accurately in CRM, student management systems, and spreadsheets.
- Maintain confidentiality of student, parent, and school information.
- Prepare reports and summaries as requested.
- Ensure records are accurate, organized, and up to date.
Required Qualifications
- Previous experience as a Receptionist, Virtual Receptionist, Customer Service Representative, Administrative Assistant, or similar role.
- Excellent verbal and written English communication skills.
- Strong phone etiquette and professional demeanor.
- Exceptional organizational and multitasking abilities.
- High attention to detail and accuracy.
- Ability to work independently and manage priorities effectively.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Experience managing email correspondence and administrative records.
- Reliable high-speed internet connection and a professional remote work environment.

- Experience working in an educational institution, virtual school, or training organization.
