Schedule

Monday - Friday, 7:30 AM to 4:30 PM Corona Del Mar, CA Time with a 1-hour unpaid break (8 hours/day)

Responsibilities

  • Manage calendars, schedule meetings, appointments, and coordinate events.
  • Answer phone calls, emails, and other communications professionally and promptly.
  • Prepare, format, and distribute correspondence, reports, presentations, and other business documents.
  • Maintain electronic filing systems and ensure records are organized and up to date.
  • Coordinate travel arrangements, accommodations, and itineraries when required.
  • Assist with data entry, database management, and record maintenance.
  • Monitor and prioritize incoming requests, ensuring timely follow-up and completion.
  • Track projects, deadlines, and action items to support operational efficiency.
  • Order supplies and assist with vendor coordination as needed.
  • Support leadership and team members with administrative tasks and special projects.
  • Maintain confidentiality when handling sensitive company, employee, or client information.
  • Assist with meeting preparation, note-taking, and follow-up communications.
  • Identify opportunities to improve administrative processes and workflow efficiency.
  • Perform other administrative duties as assigned.

Requirements

  • 2-5 years of experience in an Administrative Assistant, Office Assistant, Coordinator, or similar administrative support role.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities with exceptional attention to detail.
  • Proven ability to multitask, prioritize competing responsibilities, and meet deadlines.
  • Experience managing calendars, appointments, and meeting coordination.
  • Proficiency with Google Workspace (Gmail, Docs, Sheets, Drive, Calendar) and/or Microsoft Office Suite.
  • Strong data entry and document management skills with a high level of accuracy.
  • Ability to learn new software, systems, and processes quickly.
  • Experience handling confidential and sensitive information with discretion.
  • Self-motivated and capable of working independently with minimal supervision.
  • Strong problem-solving skills and resourcefulness.
  • Professional phone etiquette and customer service skills.
  • Reliable internet connection and appropriate remote workspace.
  • Ability to thrive in a fast-paced environment while maintaining accuracy and professionalism.

Preferred Qualifications:

    • Associate's or Bachelor's degree in Business Administration, Management, Communications, or a related field.
    • Experience supporting executives, managers, or remote teams.
    • Familiarity with CRM systems, project management software, or collaboration platforms.
    • Experience coordinating travel, events, or vendor relationships.
    • Previous experience in a fully remote work environment.
