Construction Operations Coordinator (Houzz Pro)

Job Overview

Our client is looking for a highly organized and proactive professional to serve as the central operational hub for estimating, logistics coordination, and financial administration. By taking ownership of CRM data entry, supplier communications, and process documentation, you will reduce daily administrative burdens, eliminating after-hours quoting and enabling a shift toward high-level business strategy.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM CST, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Input AI and historic takeoff data into Houzz Pro to build detailed, accurate project estimates.
  • Contact material and labor suppliers via phone to obtain takeoff quotes and coordinate deliveries.
  • Develop subcontractor scopes of work from walkthrough notes and enter all details into the CRM.
  • Track, organize, and accurately categorize incoming project receipts (by job, cost code, change order, and date) in Houzz Pro daily.
  • Field initial on-site issues from crews to filter out minor logistical problems before escalating them to management.
  • Review the bookkeeper's weekly reconciliation spreadsheet to identify, detail, and summarize missed or uncategorized transactions for the Tuesday team huddle.
  • Document regional operational variations and create comprehensive SOPs and video task trainings for company workflows.
  • Confirm subcontractor daily logs and maintain the digital filing system for all on-site documentation.

Requirements

  • Proven experience in administrative support within the construction industry, specifically assisting with estimating and project management.
  • High proficiency with Houzz Pro (or similar construction CRMs) and familiarity with QuickBooks.
  • Professional English communication skills for international business calls.
  • Strong financial administration skills, particularly in categorizing receipts and spotting discrepancies in financial spreadsheets.
  • Demonstrated ability to create Standard Operating Procedures (SOPs) and organize digital filing systems/video libraries.
  • Tech-savvy and comfortable adapting to new VoIP phone systems (e.g., Google Voice, Aircall, Dialpad).
  • Highly organized, detail-oriented, and proactive in seeking clarification to ensure accuracy.

Additional Expectations

  • Comfortable using dedicated US phone lines to proactively manage vendor and crew communications.
  • Highly proactive in preparing detailed financial discrepancy summaries prior to weekly Tuesday team huddles.
  • Ability to work independently and seamlessly manage a high volume of tasks without constant supervision.
  • Commitment to continuously building and maintaining a searchable digital playbook of company procedures to ensure long-term operational success.
