Scheduling Coordinator

Overview

We are seeking a professional and customer-focused Customer Service Representative to manage inbound and outbound communications while supporting appointment scheduling and customer follow-up efforts. This role serves as the first point of contact for customers, ensuring an exceptional experience through prompt communication, accurate record-keeping, and efficient scheduling coordination. It is an ideal opportunity for an organized, detail-oriented individual with strong phone skills and CRM experience.

Schedule

  • Monday - Friday: 12:00 PM - 7:00 PM CST (with a 30-minute lunch)
  • Saturday: 9:00 AM - 5:00 PM CST (with a 1-hour lunch)

Responsibilities

  • Answer inbound customer calls promptly and professionally, capturing key details and scheduling appointments
  • Conduct outbound warm calls to past customers to schedule complimentary arborist follow-up visits
  • Log all customer interactions and appointment details accurately in the CRM (Quick Base)
  • Coordinate scheduling using Google Calendar to ensure arborist availability is properly managed
  • Maintain organized records of customer contact history and follow-up status
  • Support overall call flow during high-volume periods such as storm events

Requirements

  • Previous experience handling both inbound and outbound phone calls in a professional setting
  • Familiarity with CRM platforms and ability to quickly learn new systems
  • Excellent verbal communication skills with a clear, friendly, and professional phone manner
  • Strong organizational skills and high level of attention to detail
  • Ability to work independently and manage time effectively during low call volume periods
  • Comfortable working in a fast-paced environment when call volume spikes
