Key Responsibilities
Primary focus – USA customer data & sales tax certificates
• Proactively contact all USA customers to request up-to-date account information and valid
sales tax certificates (resale / exemption certificates).
• Track outreach systematically, follow up persistently on outstanding requests, and keep clear
records of what has been received and what is still pending.
• Review certificates and customer details for validity and completeness.
• Accurately enter and verify this information in both Business Central and AvaTax, ensuring
the two systems are consistent and correct.
• Flag discrepancies, expired certificates, or missing data to the Finance Manager.
Ongoing responsibilities
• Data checks and validation: Carry out routine checks to ensure financial and transactional
data is complete, accurate, and correctly entered across systems.
• Data requests and logging: Request, gather, and log required data into Business Central
and AvaTax, keeping records up to date.
• System tidy-up and maintenance: Assist with clean-up tasks across both the UK and US
environments of Business Central — correcting inconsistencies, closing out items, and
maintaining data integrity.
• Credit control cover: Assist with credit control queries that arise while the UK-based Credit
Controller is out of office.
• General finance administration: Provide day-to-day administrative support to the Finance
team as required.

• Diligent and methodical — follows processes carefully, tracks tasks systematically, and
chases items to completion.
• Confident, professional communicator — comfortable reaching out to customers by email,
and by phone where needed, to request information.
• Strong Excel / spreadsheet skills for reconciling certificate data and tracking outreach
progress.
• Strong data-entry and data-management skills.
• Comfortable working with finance / accounting systems; experience with Microsoft Dynamics
365 Business Central and / or Avalara AvaTax is a strong advantage.
• Excellent written and clear spoken English.
• Able to work independently during USA hours with minimal supervision.
• Organised, self-motivated, and able to prioritise across competing tasks.

This role involves handling sensitive customer and tax information. The successful candidate must:
• Treat all customer, financial, and tax data as strictly confidential.
• Be willing to sign a Non-Disclosure Agreement (NDA) and adhere to Group data
protection policies.
• Follow secure data-handling practices when storing, transferring, and entering information.
Equipment & Working Environment
• Own a reliable computer that meets the requirements to run Business Central, AvaTax, and
standard office software.
• Stable, high-speed internet connection — a backup connection and/or power source is
strongly preferred to avoid interruptions.
• A quiet, professional home-office environment, and a headset for any customer calls.
Desirable
• Previous experience in finance administration, accounts, or credit control support.
• Familiarity with US sales tax, resale / exemption certificates, or VAT data handling.
• Experience working in a remote, multi-region team.
