Job Overview
Our client is looking for a Bilingual Medical Receptionist to support their Quality Improvement (QI) initiatives and front-office operations in a fully remote capacity. This hybrid role blends administrative accuracy with compassionate member engagement, ensuring seamless coordination between members, providers, and internal teams. The ideal candidate is detail-oriented, tech-savvy, and committed to maintaining high standards of compliance, privacy, productivity, and member experience.
Schedule
Monday - Friday, 8:00 AM - 5:00 PM PST, with 1 hour unpaid break (40 work hours per week)
Responsibilities
Reception & Communication
- Answer incoming calls, route messages, and manage VoIP phone systems, general voicemail, text messages, and fax distribution.
- Provide courteous, bilingual communication to members, providers, and community partners.
- Assist members needing support with appointments, transportation, GA Foods, or service coordination.
- Send follow-up emails, Teams messages, or text replies when the Lead Care Manager (LCM) is unavailable and the member does not require immediate assistance.
- Make outbound calls or send messages as needed for follow-ups, reminders, or outreach.
- Maintain accurate documentation in SwyftOps and ensure timely data entry.
Administrative & Program Support
- Confirm insurance eligibility and verify member enrollment.
- Escalate calls to supervisors when appropriate.
- Understand and support Enhanced Care Management (ECM) workflows, including explaining ECM benefits, care coordination goals, and available resources to members in both English and Spanish.
- Assist with Outreach & Referral (OR) processes, ensuring timely follow-up and accurate documentation of member engagement.
- Maintain a working knowledge of Medi-Cal guidelines, CalAIM initiatives, and the organization's interdisciplinary care approach.
Remote Work Compliance
- Log in daily via Microsoft Teams by 8:15 AM PST and attend scheduled huddles or meetings.
- Submit daily productivity reports and categorized schedules to supervisor by end of day.
- Maintain a secure, quiet, HIPAA-compliant home office environment.
- Follow established password and data-security protocols, including locked storage, password-protected devices, and regular password updates.
- Limit personal tasks to designated breaks and lunch periods.
Qualifications
- High school diploma required; Associate degree in Business Administration, Healthcare, or related field preferred.
- Minimum 2 years of experience in medical reception, care coordination, or QI support.
- Fluent in English and Spanish (written and verbal).
- Basic understanding of medical terminology and healthcare services.
- Proficient in EMR systems, Microsoft Teams, Excel, and remote communication tools.
- Exceptional organizational skills and attention to detail.
- Ability to work independently while maintaining accountability and productivity.
