Design & Administrative Assistant

Job Overview

We are seeking a highly detailed Design & Administrative Assistant to support a growing kitchen and bath design company. In this remote role, you will assist the design team with introductory drafting, material sourcing, vendor coordination, and tracking manufacturer order statuses. Additionally, you will handle daily administrative tasks such as managing the main inbox, organizing client packages, and maintaining financial records in QuickBooks. The ideal candidate has prior design industry experience, proficiency in software like AutoCAD, SketchUp, or 2020 Cyncly, and strong organizational skills.

 

Job Highlights

Schedule: Mon-Fri, flexible during business hours, EST timezone (40 hours per week)

Responsibilities

Design Support Specific Duties (Primary Focus)

  • Design Software & Drafting: Utilize design software (2020 Cyncly, AutoCAD, SketchUp, or similar) to assist the Lead Designer and Design Assistant with project deliverables, introductory drafting, and space planning.
  • Project & Material Sourcing: Support heavy material sourcing, procurement, and vendor coordination for ongoing design projects.
  • Cabinet Brand Coordination: Maintain and update the office on lead times, new catalogs, product updates, and discontinuations. Assist with coordinating showroom visits with reps. Support the design team with cabinet order submission, tracking, reviewing acknowledgments, and communicating with manufacturers.
  • Showroom Samples: Work with the Project Coordinator and VP of Operations to develop and manage a showroom inventory tracking system for cabinet and color samples, including a check-in/check-out process.

Administrative & Financial Duties (Secondary / Trainable)

  • General Administration: Manage and oversee daily operations including the info@ email inbox, Asana project updates, and file saving.
  • Meeting Coordination: Schedule and coordinate showroom meetings for the designer; take and organize meeting notes.
  • Client Deliverables: Prepare estimates, client deliverable packages, and handle necessary follow-up.
  • Bookkeeping (Will Train): Enter estimates, invoices, and vendor bills in QuickBooks. Update daily bank charges, invoice clients, send bills, run A/P and A/R reports, and manage credit cards. (Training provided for candidates without prior QuickBooks experience).

Marketing Support (Secondary / Good to Have)

  • Support the VP of Operations on ongoing marketing campaigns.
  • Send out client review emails and manage post-job marketing.
  • Execute basic social media marketing and website updates.
  • Submit kitchen project photographs to various design competitions and magazines.

 

Requirements

  • Design Industry Experience: Background working within general interior design, architecture, or construction administration. APPLICATIONS WITH PORTFOLIOS WILL BE PRIORITIZED. Specific kitchen and bath industry experience is a massive plus.
  • Design Software Proficiency: Hands-on, technical experience with industry-standard design software. Must be proficient in one or more of the following: 2020 Cyncly, AutoCAD, SketchUp.
  • Professional Experience: Minimum of 2 years of experience in a design assistant, project coordination, or administrative support role.
  • Tech Literacy & Organization: Proficient with general computer navigation and Microsoft Office programs. Excellent time management skills to prioritize tasks and meet deadlines in a remote environment.

Nice to have

  • Prior experience using QuickBooks for bookkeeping, estimates, and invoicing.
  • Familiarity with project management and communication tools like Asana and Slack.
  • Experience with basic marketing and web design tools such as Canva and Wix.
