Client Overview

Our client is a vacation rental property management company operating in Canada with multiple listings. They manage guest reservations, property maintenance scheduling, and customer communications across their portfolio. The company operates with a focus on exceptional guest service and efficient back-office operations.

Schedule

  • Flexible schedule during client business hours [Mountain Time - Canada] (20 hours per week)

Responsibilities

  • Reservation Coordination: Prepare reservation check-ins by verifying all required pieces are in place within the property management system.
  • Turnover Management: Process check-outs, input cleaning schedules, and confirm payment receipts through structured actions in the software.
  • Targeted Correspondence: Send templated emails to specific recipients, including incoming guests, field vendors, and internal team members.
  • Listing Content Updates: Update descriptive content across multiple vacation rental platforms simultaneously, including wording changes and information updates.
  • Email Marketing Campaigns: Manage guest-nurturing email campaigns by importing clean contact lists and scheduling communications to past guests.
  • Website Monitoring: Audit and update outward-facing website content on WordPress to ensure information remains current and accurate.
  • Database Optimization: Perform systematic database cleanup and back-office operational tasks to maintain overall system accuracy.

Requirements

  • Proven experience utilizing Asana or highly similar project management tools.
  • Strong ability to follow detailed written, visual, and video instructions with minimal supervision.
  • Excellent communication skills for professional guest-facing and vendor-facing correspondence.
  • Comfortable executing repetitive administrative workflows involving extensive clicking, data entry, and digital form submissions.

Qualifications

  • Practical experience with MailChimp or similar automated email marketing platforms.
  • Familiarity with WordPress for basic text and content updates (no web development or coding required).
  • Background in property management, hospitality, or the vacation rental industry is highly beneficial.
  • Prior QuickBooks experience for basic administrative bookkeeping tasks.
  • Interest in expanding role responsibilities based on individual strengths and corporate performance.
