QuickBooks Bookkeeper (AP/AR & Payroll)
Job Overview
Our client is seeking a highly organized and detail-oriented QuickBooks Bookkeeper (AP/AR & Payroll) to manage full-cycle financial operations for their business. This role serves as the central administrative and financial anchor, taking complete ownership of day-to-day transactional accounting, client payment monitoring, and regulatory compliance.
A critical highlight of this position is leading the platform data migration, supporting the company's transition from QuickBooks Desktop to QuickBooks Online (QBO). The ideal candidate must possess strong communication skills to coordinate between internal project managers and external clients, while flawlessly managing Canadian tax timelines.
Schedule
- Monday – Friday, 9:00 AM – 5:00 PM US/Canada Eastern Time (EST) Includes a 30-minute paid break daily (40 hours per week)
Responsibilities
Full-Cycle Ledger Maintenance & Systems Migration
- Financial Ledgering: Maintain accurate, up-to-date, and audit-ready financial records across all corporate business transactions.
- QBD to QBO Transition: Drive and support the structural migration of historical financial data from QuickBooks Desktop over to the QuickBooks Online ecosystem.
- Reconciliations & Tax Filing: Perform high-precision monthly bank and credit card reconciliations, compiling and preparing Harmonized Sales Tax (HST) data for timely monthly submissions.
AP/AR & Milestone Tracking
- Cash Flow Management: Supervise accounts payable (AP) and accounts receivable (AR), managing secure incoming and outgoing client funds via credit cards, wire transfers, and e-transfers.
- Milestone Coordination: Partner closely with internal sales representatives and event project managers to track, log, and enforce payment milestones tied directly to project timelines (e.g., upfront deposits, pre-event installments, or Net-30 closeouts).
- Collections Outreach: Conduct proactive collections outreach, contacting customers and vendors via phone and digital communication channels to clear outstanding balances.
Payroll Administration & Government Remittances
- Payroll Processing: Run employee payroll cycles on a strict, predictable regular schedule.
- Compliance Management: Calculate, file, and submit mandatory source deductions and related government remittances in absolute compliance with Canadian regulatory standards.
Requirements
- Software Mastery: Demonstrated, production-level proficiency in QuickBooks (Desktop and/or Online).
- Accounting Depth: Proven, multi-year background in full-cycle bookkeeping, including hands-on payroll configuration, source remittances, and tax reporting cycles.
- Canadian Fiscal Literacy: Solid understanding of Canadian HST reporting and compliance frameworks is strictly required.
- Communication Polish: Exceptional verbal and written English communication skills, with a confident and professional manner suited for direct client-facing collection calls.
- Autonomy & Workflow Habits: Highly organized, detail-driven, and process-oriented mindset capable of operating independently in a remote layout with minimal direct supervision.
