Job Overview:
Our client, a growing psychological services practice, is seeking a highly organized Healthcare Operations Assistant to act as an extension of the practice owner. This role is ideal for someone with strong project management experience who thrives on coordinating multiple initiatives, tracking deadlines, researching solutions, and ensuring projects are completed on time. The successful candidate will become a trusted right-hand partner, driving accountability and keeping both strategic and operational priorities moving forward.
Schedule:
- Mondays to Fridays, flexible schedule within the client’s business hours, with 2-3 hours of overlap (US Central Time, 40 hours per week)
Responsibilities:
- Coordinate and oversee multiple business projects from planning through completion, ensuring deadlines are met.
- Track project timelines, milestones, action items, and deliverables while proactively following up with stakeholders.
- Research information, vendors, solutions, and best practices to support business decisions and ongoing projects.
- Coordinate communication between internal teams, contractors, vendors, and external partners to keep projects progressing.
- Support practice expansion initiatives, including new office openings, operational improvements, website updates, and special projects.
- Manage executive inbox communications, calendars, meetings, and travel arrangements.
- Track leadership priorities and ensure action items are completed on schedule.
- Post job advertisements, coordinate candidate screening and interviews, and assist with recruitment administration.
- Prepare employment offers and support onboarding workflows.
- Respond to internal staff inquiries and assist with day-to-day operational coordination across the practice.
Requirements:
- 2+ years of Project Management, Operations, Executive Assistant, or Project Coordination experience.
- Demonstrated experience managing multiple projects simultaneously while meeting deadlines.
- Strong organizational, planning, and follow-up skills with exceptional attention to detail.
- Excellent research, problem-solving, and critical thinking abilities.
- Outstanding written and verbal English communication skills.
- Highly proactive, resourceful, and comfortable taking ownership without constant direction.
- Experience coordinating multiple stakeholders across different functions.
- Comfortable working independently in a remote environment.
Nice-to-Have Requirements:
- Experience in healthcare, mental health, or professional services.
- Experience with recruitment or talent coordination.
- HIPAA knowledge is an advantage.
