Accounts & Payroll Specialist (Xero)

We are seeking a detail-oriented Accounts & Payroll Specialist to take ownership of end-to-end financial workflows for a rapidly growing construction business. In this part-time, remote role, you will manage weekly payroll for on-site teams, oversee accounts payable via Xero, and ensure precise bank reconciliations. This is a dynamic opportunity for an autonomous professional to maintain organized financial records and scale their impact alongside the company’s expansion.

Schedule:

  • Part-time (20 hours per week) with flexible scheduling between 9:00 AM – 6:00 PM ET;
    9:00 AM - 1:00 PM ET during the 1st week

Responsibilities

  • Manage the end-to-end accounts payable process, including data entry of invoices into Xero and routing them through the approval workflow
  • Process weekly payroll accurately and on time for the on-site construction team
  • Execute the weekly Thursday pay run, ensuring all approved invoices due for that week are included
  • Perform regular bank reconciliations in Xero to keep financial records up to date as transaction volumes grow
  • Coordinate with directors and project managers to facilitate timely invoice approvals
  • Maintain accurate and organized financial records across Xero and the project management system

Requirements

  • Demonstrated experience with Xero for bookkeeping, accounts payable, and bank reconciliations
  • Prior experience processing payroll weekly
  • Possess mandatory QuickBooks skills (DrakeTax is a strong bonus)
  • Strong attention to detail and accuracy in data entry and financial processing
  • Ability to follow established workflows and approval processes independently
  • Excellent organizational and time management skills
  • Strong written communication skills for coordinating with team members remotely
