Role Overview
We are seeking a detail-oriented Administrative Assistant to support billing and back-office operations for an agricultural business. This role is primarily focused on accurately entering load weight data, verifying documentation, preparing invoices, and maintaining organized records. The ideal candidate is highly organized, dependable, and able to work efficiently during seasonal high-volume periods.
Schedule: 20 hours a week 5:00am to 9:00am flexible on days, but can be Monday thru Friday MST
Key Responsibilities
- Accurately enter load weight data from paper records into Excel spreadsheets to support client billing
- Cross-check and verify paper documentation against digital records, identifying and correcting discrepancies
- Prepare and issue invoices based on verified load and weight data
- Maintain organized digital filing systems for weight tickets, invoices, and supporting documentation
- Manage administrative records and ensure data is complete, accurate, and up to date
- Assist with email management and general administrative support tasks
- Process paperwork within required deadlines, particularly during peak harvest seasons
- Support operational efficiency by ensuring documentation is properly tracked and archived
Preferred Skills & Qualifications
- Previous experience in administrative support, data entry, billing, or similar office-based roles
- Strong proficiency in Microsoft Excel and data management
- Exceptional attention to detail and accuracy
- Excellent organizational and time management skills
- Ability to work independently with minimal supervision
- Strong written communication skills
- Reliable internet connection and ability to maintain consistent productivity during busy periods
- Experience with invoicing, bookkeeping support, or agricultural operations is a plus

Position Details
- Part-time position (20 hours per week)
- Potential to scale to full-time based on seasonal demand and business growth
- Non-voice administrative role with no client-facing phone responsibilities
- Must be available to work with some overlap during Mountain Time business hours (minimum one hour overlap required)
- Seasonal workload fluctuations:
- Peak season: September–November (higher volume)
- Off-season: December–April (lighter workload)
- Paperwork may be received late in the evening and require next-day processin
