Marketing & Administrative Assistant - Trade Services
Job Description
You’ll serve as the essential right-hand support that keeps operations running smoothly while contributing to exciting growth initiatives. The primary focus of this position is to manage our digital brand growth and handle daily executive administrative workflows, while secondarily providing critical operational backup for our service coordination. This isn’t just about managing calendars, you’ll be actively involved in social media content creation, specialized trade dispatching, and research projects that shape new business directions.
You’ll have variety, autonomy, and the opportunity to make a real impact in a business that’s scaling across the plumbing and property maintenance sectors.
Schedule
- Mon–Fri, 8:00 AM–5:00 PM CST (includes 1-hour unpaid break); 40 hours a week
Responsibilities
Social Media & Marketing (Primary Focus)
- Content Management: Fully manage, curate, edit, and post engaging content across all company social media accounts tailored to our trade and maintenance audience.
- SEO Optimization: Implement SEO best practices to improve online visibility and local search rankings for our various service lines.
- Brand Growth: Take full ownership of social media growth, digital client engagement initiatives, and online brand reputation.
Administrative Support & Relationship Building (Primary Focus)
- Conduct outbound calls to clients and prospects for follow-up and relationship building.
- Research new business ventures including website analysis, competitive intelligence, and market opportunities.
- Investigate licensing requirements and assist with paperwork completion for business expansion initiatives.
- Manage email correspondence, calendar scheduling, and meeting coordination.
- Handle file organization, document management, and CRM data entry.
- Take detailed meeting minutes during business meetings and strategic sessions.
- Coordinate travel arrangements and logistics as needed.
- Provide flexible personal assistant support to address evolving operational needs.
- Support leadership with administrative tasks that enable focus on growth priorities.
Dispatching & Operations (Secondary Focus)
- Service Coordination: Learn and utilize our company-specific dispatching software to assist with coordinating schedules, optimizing routes, and managing service calls for plumbing and maintenance technicians.
- Reception Duties: Serve as a professional receptionist managing incoming client calls, handling inquiries, and booking trade service jobs.
- Software Agility: Quickly adapt to and navigate specialized operational and communication tools, including Basecamp and proprietary dispatch platforms.
Requirements
- Social Media & Marketing Skills: Proven track record in managing social media accounts, creating/editing digital content, and applying basic SEO principles. (APPLICATIONS WITH PORTFOLIOS WILL BE PRIORITIZED)
- Communication Skills: Strong verbal and written communication skills with a professional, confident phone presence for clients and technicians.
- Customer Service Background: Experience handling client interactions, booking appointments, or managing service requests.
- Administrative Proficiency: Highly organized in administrative tasks including email management, calendar coordination, and digital file management.
- Technical Savvy: Computer literacy and familiarity with standard office software, CRM systems, and a high capacity to learn specialized dispatching software quickly.
- Research Capabilities: Strong research capabilities with attention to detail and the ability to synthesize information independently.
- Adaptability: Ability to manage multiple priorities and seamlessly transition between creative social media marketing and structured operational workflows.
- Professional demeanor when representing the company to clients and stakeholders.
