Job Overview
Our client is seeking a highly organized, detail-oriented, and self-directed Legal Operations Assistant to support a busy professional services firm. This role combines administration, document management, workflow coordination, AI-assisted content review, billing support, and client communications.
The ideal candidate thrives in a fast-paced environment, can independently manage priorities without constant supervision, and possesses exceptional attention to detail. A significant portion of the role involves reviewing AI-generated content before management review, making accuracy, critical thinking, and strong written English skills essential.

Responsibilities
Administrative & Workflow Management
- Proactively manage daily administrative workflows and priorities
- Organize and maintain files, records, and documentation within Clio or similar systems
- Track deadlines, follow-ups, appointments, and key action items
- Monitor incoming communications and route tasks appropriately
- Coordinate with vendors, third-party service providers, and external stakeholders
Document Preparation & Management
- Prepare, edit, and format professional documents, correspondence, reports, and templates using forms, AI tools, and sample documents
- Organize and manage large document sets and records
- Perform PDF manipulation, including Bates stamping, redactions, bookmarking, merging and splitting files, and document organization
AI Content Review & Quality Assurance
- Review AI-generated content across multiple platforms before management review
- Verify accuracy, formatting, consistency, completeness, and professionalism
- Edit content for clarity and quality
- Ensure all deliverables meet company standards before submission
Client & Vendor Coordination
- Provide professional client communication and follow-up regarding documentation, invoices, and administrative matters
- Draft routine professional correspondence for review
- Manage and follow up with vendors and service providers independently
- Coordinate requests and maintain professional stakeholder relationships
Billing & Operations Support
- Assist with billing entries and invoice follow-up
- Track and reconcile software subscriptions and operational expenses
- Maintain organized records and administrative documentation
- Ensure deadlines are met and provide status updates as required
Time Tracking & Reporting
- Maintain accurate automatic time tracking as required
- Provide regular workflow and progress updates
Requirements
- Previous experience in an administrative, operations, executive assistant, project coordination, legal support, or similar high-responsibility role
- Excellent written and verbal English communication, editing, proofreading, and document review skills
- Experience with billing support, invoice follow-up, and administrative operations
- Strong document management skills, including PDF editing, Bates stamping, redactions, bookmarks, and document assembly
- Highly organized with exceptional time management skills and the ability to independently prioritize multiple tasks and deadlines
- Technically proficient, with experience using document management systems, AI tools, and new software platforms
- Detail-oriented, proactive, and reliable, with strong critical thinking skills and the ability to communicate professionally with clients, vendors, and stakeholders while taking ownership of outcomes and maintaining high-quality standards for all deliverables
Nice to have
