Property Maintenance Coordinator (US Property Management)

Client Overview

Our client is a fast-growing property management company based in Oakland, California, currently managing over 2,000 residential units. The company is experiencing rapid expansion, with plans to onboard an additional 500+ units by August. They are looking for reliable, detail-oriented Maintenance Coordinators to support their growing operations remotely.

Role Overview

The Property Maintenance Coordinator will serve as a central point of contact between tenants, internal technicians, and external vendors for all maintenance-related activities. This is a fast-paced, communication-heavy role requiring strong organizational skills and the ability to manage multiple work orders simultaneously. Fluency in both English and Spanish is a firm requirement for this role, as the team works with a bilingual staff and serves a diverse tenant base. The ideal candidate will have a background in property management and be comfortable working within US Pacific Time business hours.

Work Schedule: Monday to Friday from 8:30 AM to 5:30 PM with a one-hour unpaid break each day (40 hours per week) Pacific Time

Key Responsibilities:

Work Order Management

  • Receive, log, and assign maintenance work orders from tenants and property managers
  • Track open work orders to ensure timely resolution and proper documentation
  • Review and audit technician notes for accuracy and completeness
  • Follow up on completed work orders to confirm tenant satisfaction

Vendor & Technician Coordination

  • Coordinate scheduling with internal maintenance technicians and external vendors (e.g., HVAC, plumbing, electrical)
  • Communicate job details, access requirements, and timelines to all relevant parties
  • Monitor vendor performance and escalate issues when necessary

Unit Renovations & Vacancy Preparation

  • Coordinate maintenance tasks for vacant units undergoing renovation
  • Track renovation progress and ensure timely unit turnover
  • Liaise with contractors and internal teams to minimize vacancy downtime

Exterior & Property Improvements

  • Coordinate response to exterior maintenance issues including graffiti removal and trash cleanup
  • Assist in scheduling routine property inspections and upkeep tasks

Quotes & Vendor Management (Developing Responsibility)

  • Assist in obtaining quotes from vendors for maintenance and repair work
  • Compare vendor pricing and timelines to support cost-effective decision-making

Requirements

  • Minimum 1–2 years of experience in property management, facilities coordination, or a related field
  • Bilingual in English and Spanish — required; Latin American candidates strongly encouraged to apply
  • Strong verbal and written communication skills in both languages
  • Proficiency with property management software (e.g., Buildium, AppFolio, Yardi, or similar)
  • Experience using work order management systems or ticketing platforms
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities and work independently in a remote environment

Preferred Qualifications

  • Previous experience in US-based property management operations
  • Familiarity with US residential maintenance standards and tenant communication practices
  • Experience coordinating with HVAC, plumbing, or general contractors
  • Comfortable working US Pacific Time business hours
