Job Description

As a Project Coordinator & Administrative Specialist (Healthcare) , you will play a critical role in supporting business operations across multiple healthcare-related companies. You will help maintain organized documentation, coordinate projects, manage communications, track deliverables, and ensure systems and records remain accurate and up to date.

This role is ideal for a highly experienced administrative professional who combines strong organizational skills with project coordination capabilities. You should be comfortable working independently, managing competing priorities, and proactively identifying opportunities to improve efficiency and keep projects on track.

Schedule

  • Flexible during client business hours (Central Standard Time); 20hrs per week

Responsibilities

Project Coordination & Task Management

  • Track project milestones, deadlines, and deliverables across multiple business initiatives
  • Monitor task progress and follow up with stakeholders to ensure timely completion
  • Assist leadership with project planning, coordination, and execution activities
  • Maintain project documentation and status updates
  • Identify potential roadblocks and proactively escalate issues when necessary

Administrative Support

  • Organize, verify, and maintain files, records, and documentation across multiple healthcare clients
  • Prepare reports, meeting notes, and operational documents as required
  • Support day-to-day administrative functions to ensure smooth business operations
  • Maintain organized digital filing systems and document repositories
  • Assist with ad hoc administrative projects and business initiatives

Communication & Follow-Up

  • Draft professional emails and correspondence on behalf of leadership
  • Conduct follow-ups with clients, vendors, partners, and internal stakeholders
  • Make outbound phone calls to support contracting, project coordination, and operational workflows
  • Serve as a point of contact for various administrative and project-related matters
  • Ensure communications are handled professionally and in a timely manner

CRM & Systems Management

  • Maintain accurate and up-to-date records within Salesforce
  • Update client information, project details, notes, and activity records
  • Audit data for completeness and accuracy
  • Support reporting and administrative workflows using Salesforce and Google Workspace
  • Ensure consistency and integrity of information across systems

Requirements

  • Minimum five years of experience in administrative support, executive assistance, project coordination, or a similar role
  • Demonstrated experience using Salesforce CRM
  • Proficiency with Google Workspace including Gmail, Google Docs, Sheets, Drive, and Calendar
  • Strong critical thinking and problem-solving abilities
  • Excellent written and verbal English communication skills
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple priorities and deadlines simultaneously
  • Strong follow-through and accountability in completing assigned tasks
  • Ability to work independently with minimal supervision
  • Reliable internet connection and professional remote work environment

Preferred

  • Experience supporting healthcare, medical, or professional services organizations
  • Previous experience coordinating multiple projects simultaneously
  • Familiarity with process improvement and workflow optimization
  • Experience supporting executive leadership teams
