Role Overview
The HubSpot CRM Administrator is responsible for the day-to-day maintenance, stability, and integrity of internal systems, with a primary focus on HubSpot. This role ensures seamless operational execution through proactive system administration, workflow management, data governance, troubleshooting, and continuous system improvement.
This is a highly tactical, execution-focused role requiring advanced HubSpot expertise, particularly within Operations Hub. The successful candidate will have experience managing large-scale databases, complex automation ecosystems, and data integrity initiatives while supporting business-critical systems and integrations.

Key Responsibilities
System Maintenance & Stability
- Maintain and monitor HubSpot and integrated systems to ensure uninterrupted daily operations.
- Perform routine system checks, updates, and preventative maintenance.
- Troubleshoot and resolve CRM, automation, integration, and website-related issues, including forms, workflows, tracking, and data synchronization errors.
- Support backend website functionality connected to HubSpot, including forms, tracking scripts, and CRM integrations.
- Escalate complex technical issues to development or digital teams with clear documentation and testing evidence.
HubSpot Administration & Optimization
- Own day-to-day administration of HubSpot CRM, Marketing Hub, Sales Hub, and Operations Hub.
- Build, test, maintain, and optimize workflows, automations, lifecycle stages, and business processes.
- Manage custom properties, object relationships, data structures, and system configurations.
- Ensure accurate routing, segmentation, tagging, and lead management processes.
- Support campaign execution through setup and QA of emails, forms, landing pages, lists, and reporting.
Data Integrity & Governance
- Maintain high standards of data quality, consistency, and governance across HubSpot.
- Conduct regular audits, deduplication exercises, and database clean-up initiatives
- Enforce naming conventions, field governance, and documentation standards.
- Validate data flows between HubSpot and integrated platforms
- Support data migration, transformation, and cleansing projects.
Workflow Monitoring & Quality Assurance
- Monitor workflow performance and automation health.
- Perform QA on workflow logic, routing rules, automation triggers, and segmentation criteria.
- Validate reporting accuracy and dashboard outputs.
- Identify operational inefficiencies and recommend scalable improvements.
Operational Support & Continuous Improvement
- Build and maintain reports, dashboards, lists, and audience segments.
- Support testing and validation of new features, integrations, and system enhancements.
- Track, document, and resolve system issues and bugs.
- Partner with stakeholders to improve system performance, scalability, and operational efficiency.
Requirements
Essential
- Minimum 3 years of hands-on HubSpot administration experience.
- Advanced experience managing HubSpot Operations Hub, CRM architecture, workflows, and automations.
- Demonstrated experience managing large-scale databases containing 40,000+ contacts.
- Experience maintaining complex automation ecosystems with 200+ active workflows.
- Strong understanding of data structures, lifecycle management, segmentation, and governance.
- Experience troubleshooting HubSpot workflows, forms, integrations, and tracking issues independently.
- Proven ability to maintain data hygiene and enforce CRM governance standards.
- Strong analytical, problem-solving, and documentation skills.
Highly Desirable
- Experience with large-scale data migration, cleansing, and system consolidation projects.
- Experience working with membership-based, customer-facing, or high-volume CRM environments.
- Exposure to API integrations, middleware platforms, and third-party system connections.
- Familiarity with reporting across custom objects and cross-object relationships within HubSpot.
