Overview
Are you a polished, proactive professional ready to support a thriving luxury brand? We are seeking a highly organized Executive Assistant / Customer Experience Coordinator to act as the CEO’s right hand and deliver premium, relationship-driven service to high-end clientele. In this dynamic role, you will seamlessly balance executive support, consultative customer communication, website coordination, and light social media curation.
Schedule:
- Monday - Friday 9:00 AM - 6:00 PM China Standard Time with 1 hour unpaid break (8 hours per day / 40 hours per week) (This schedule is for the first week only. The final schedule is still TBD)
Responsibilities
Executive & Administrative Support
- Manage and maintain the CEO’s calendar, appointments, and daily priorities
- Coordinate meetings, follow-ups, reminders, and scheduling logistics efficiently
- Act as a dependable point of contact and trusted support partner for the CEO
- Organize files, communications, operational documents, and internal records
- Anticipate needs proactively and help improve workflows and organization systems
Customer Communication & Sales Support
- Answer inbound customer calls and inquiries regarding products, customization options, pricing, and delivery timelines
- Respond promptly and professionally to customer emails, messages, and website inquiries
- Use a consultative sales approach to guide customers through product selections and purchasing decisions
- Understand the importance of response time and customer experience in luxury retail environments
- Build strong customer relationships through excellent communication and attentive follow-up
- Schedule showroom visits, consultations, and customer appointments effectively
Website & E-Commerce Coordination
- Assist with website content updates, product uploads, and backend coordination
- Work with developers or IT support to resolve website issues and maintain functionality
- Help ensure product information, imagery, and website content remain accurate and visually aligned with the luxury brand
- Support ongoing website organization and digital asset management
Social Media Support
- Create and publish one social media post per week aligned with the company’s luxury branding
- Coordinate with the CEO regarding promotions, featured products, customer stories, or showroom highlights
- Help maintain a polished and consistent online presence across social media platforms
- Assist with gathering content assets such as product images, testimonials, and showroom visuals
Operations & Coordination
- Coordinate with logistics and operations teams regarding customer orders and delivery updates
- Maintain organized tracking systems for customer communications, appointments, and operational tasks
- Participate in regular check-ins with the CEO to align priorities and discuss improvements
- Support ad hoc operational and administrative tasks as needed
Requirements
- Minimum 3 years of experience in an Executive Assistant, Customer Support, Sales Support, or similar role
- Excellent spoken and written English communication skills with a professional and polished phone presence
- Strong calendar management and appointment-setting experience
- Proven ability to communicate confidently with customers and build rapport
- Sales background or customer-facing experience with a consultative approach
- Strong understanding of urgency, responsiveness, and premium customer service standards
- Experience handling inbound calls and customer inquiries professionally
- Highly organized with strong attention to detail and follow-through
- Proactive mindset with the ability to work independently and anticipate needs
- Experience with website management platforms such as WordPress, Shopify, or similar systems
- Comfortable using Google Workspace, project management tools, and CRM systems
- Ability to multitask and prioritize effectively in a dynamic environment
Nice to Have
- Experience in luxury retail, furniture, home décor, or interior design industries
- Social media content creation or scheduling experience
- Familiarity with Instagram, Facebook, TikTok, or Pinterest best practices
- Basic graphic design or Canva experience
- Experience supporting entrepreneurs or executives directly
- Understanding of e-commerce workflows and customer journeys
- Experience coordinating with international teams
