Job Overview
Our client is looking for a Strategic Accounts Coordinator responsible for managing high-value client accounts, overseeing complex billing lifecycles, and ensuring seamless rental operations. This role serves as the primary point of contact for Strategic Account customers (including Body Shop, Corporate, Subscription, and Rideshare), balancing high-touch customer support with rigorous administrative tracking. The ideal candidate possesses exceptional organizational skills, a proactive approach to collections and accounts receivable, and the ability to maintain accurate data across multiple platforms.
Schedule: Thursday - Monday, 9:00 AM - 6:00 PM / 10:00 AM - 7:00 PM CST, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Customer Service & Account Support: Serve as the primary contact for key accounts by handling inbound calls, digital messages, and internal communication channels. Assist clients with reservations, extensions, and billing inquiries while validating data and escalating issues appropriately.
- Reservations & Fleet Coordination: Process new and pending reservations across business segments, verify pricing accuracy, and coordinate fleet transition logistics by logging all vehicle updates in the fleet management system.
- Subscription & Recurring Billing Management: Manage recurring monthly billing cycles, monitor daily payment collections, enforce overdue protocols, and execute multi-day collections and vehicle recovery workflows as needed.
- Accounts Receivable & Account Reconciliation: Synchronize billing dashboards daily, generate direct customer invoices, execute structured follow-ups for outstanding balances, and coordinate with third-party insurance providers for claims.
- Returns & Extensions Management: Liaise with partner facilities on repair timelines and return dates, process vehicle returns in the tracking system, and collaborate with the internal fleet team to ensure post-return safety inspections and platform updates are completed.
Requirements
- 2+ years of experience in account management, customer service, billing administration, or accounts receivable (experience in car rental, automotive, fleet logistics, or insurance replacement industries is highly preferred).
- Proven ability to navigate complex CRM software, central billing dashboards, and internal team communication tools.
- High data-entry accuracy with a track record of maintaining consistent records across multiple platforms.
- Excellent organizational skills and the ability to manage strict daily, weekly, and monthly tracking timelines.
