Job Overview:
Our client is a modern Australian law firm focused on delivering clear, practical, and compassionate legal support to individuals and families. Specialising in family law, the firm guides clients through sensitive and complex situations with the highest levels of professionalism, efficiency, and care. As a Legal Secretary, you will be a backbone of the legal team, ensuring the smooth progression of cases by managing specialised documentation, executing court filings, and providing precise research support. This role leverages advanced legal technology to streamline processes, making it an ideal fit for a tech-savvy professional who thrives in a fast-paced environment with meticulous data-organisational skills and adherence to strict deadlines.
Schedule:
- Mondays to Fridays, 9:00 am to 5:00 pm (Australian Eastern Time), with a 30-minute unpaid break (40 hours per week)
Responsibilities:
- Document Preparation: Accurately prepare, review, and draft legal correspondence, court briefs, and complex family law documentation with high accuracy.
- Court Filing Management: Navigate Australian court portals to execute timely submissions and filings while ensuring strict compliance with jurisdictional procedures.
- Practice Management: Maintain, organize, and update active case files within Smokeball practice management software.
- Legal Research: Assist lawyers by conducting targeted legal research and compiling relevant case law materials and evidence collation.
- Administrative Coordination: Provide high-level administrative support, including calendar scheduling, document organisation, and managing digital records for rapid retrieval.
- Case Preparation: Organise and prepare comprehensive briefs for counsel and assist in the strategic collation of evidence.
Requirements:
- Professional Experience: Proven experience as a Paralegal, with a strong, distinct preference for backgrounds in Australian Family Law or related fields.
- Software Expertise: Hands-on experience using Smokeball or similar legal practice management software is highly preferred.
- Procedural Knowledge: Strong understanding of Australian court processes, legal documentation standards, and electronic filing systems.
- Communication: Excellent written communication and professional correspondence skills suitable for interacting with legal teams and sensitive client matters.
- Core Competencies: Meticulous attention to detail, exceptional organisational ability, and the capacity to manage multiple priorities under tight deadlines.
Qualifications:
- Strong familiarity with federal and state-level family law courts and jurisdictional requirements in Australia.
- High level of emotional intelligence and discretion when handling highly confidential and sensitive personal data.
- Ability to work independently as a remote contributor while maintaining seamless collaboration with a Sydney-based legal team.
