We are seeking a highly organized, proactive, and detail-oriented Broker Success Coordinator Assistant with exceptional experience in the real estate industry to support our fast-paced operations team. - Monday to Friday | 9:00 AM – 5:00 PM EST
Responsibilities
Referral Assignment Monitoring (Primary Responsibility)
- Monitor the pending referral queue hourly throughout the business day
- Ensure all incoming referrals are reviewed and assigned promptly
- Reassign any referral that has not been accepted within 2 hours
- Maintain fast response times and ensure no referral opportunities are missed
- Escalate urgent assignment issues when necessary
- This is the highest-priority and most time-sensitive responsibility of the role.
Agent Follow-Up & Deal Accountability (Secondary Responsibility)
- Manage follow-up communication for approximately 500 active real estate deals weekly
- Conduct outbound calls to agents who have not submitted required weekly status updates
- Collect accurate transaction updates and reinforce reporting expectations
- Maintain organized records of agent communications and deal progress
- Follow provided scripts and SOPs while maintaining professionalism and relationship-building skills
As-Needed Referral Coverage (High Priority / Variable Volume)
- Assist in sourcing agents for markets where current coverage is unavailable
- Perform outbound calling to identify and secure agent placement for incoming referrals
- Handle approximately 5–30 outbound calls daily depending on referral volume
- Ensure quick turnaround times for urgent market coverage needs
- Follow established scripts, workflows, and escalation procedures
Requirements
Required Experience
- Strong background in real estate operations, brokerage support, transaction coordination, or agent management
- Exceptional experience working within the real estate industry is required
- Experience handling high-volume workflows and time-sensitive coordination tasks
- Proven experience in outbound calling, follow-up coordination, or client/agent communication
Required Skills
- Excellent verbal and written English communication skills
- Strong organizational and multitasking abilities
- Ability to work independently with minimal supervision
- High sense of urgency and accountability
- Detail-oriented with strong follow-through skills
- Comfortable handling repetitive follow-up tasks while maintaining professionalism

Preferred Qualifications
- Experience supporting real estate brokerages, referral networks, or transaction teams
- Familiarity with CRM systems and real estate platforms
- Experience working with SOP-driven operational environments
- Transaction coordination or deal management experience is highly preferred
